Finance & Legal4 October 2004
=====================
Attendance: Willie, Kathy B., Patti, Dale, Jim G., Judith, Adi
Minutes by: Judith
Late Association Fees: has been put on Wiki; needs to be looked at
and brought to a meeting as an announcement. May need discussion with
Caring and Affordablility. Discussion of [[Treasurer]] vs Convener.Jim G.
will talk to Caring and ask to schedule announcement for first mtg in
Nov. Will need a form to fill out to ask for postponment. This is on
the Wiki. What to do about people who just don?t pay? Jim will search
minutes for this.
Our financial relationship with CDC: We received the bill for tap fees
on Sept. 19, 2004. CDC should owe us money for the electric bill for
the CH for the first 4 months. The bills include $200+ in collection
fees. There are other discrepcancies in the Contingency balance. We
need a very careful accounting. We paid DTE directly for at least 2
bills; we paid for the CH caulking directly. CDC has not collected
rent from some units. Dave Butler and another F&L member will go to
CDC to discuss all this. We are prepared to write a check to CDC.
MONKEY: someone should talk with [[Jenny]] about the $2200 caulk fee. Do
we have a receipt? There were two separate caulking events. The first
was around the windows except for the eaves($2200). The second was for
painting and caulking the eaves ($3400). [[Jenny]] is going to get the
receipt to us.
Patti will do a spreadsheet next weekend. It will be ready for the
next F&L meeting on Oct. 17.
Insurance report: B?ball court-$2mil liability. Barb recommends
posting rules. AED-keep it where kids can?t get at it. If it caused a
death and we were sued, State Farm would drop us. Grills on
decks-there are no rules, but we should make a policy as a community.
If we had a fire, our rates would go up. Willie will announce at the
next meeting that fires on decks are dangerous and if you set a fire,
you are liable.
Monkey: OCR Willie Master Deed and Bylaws to put on Wiki.
AED-form an ad hoc committee to find interest in training and use.
Master Deed Alteration-no progress-Sunward is doing a major re-write of
their Master Deed. Dale will review our documents and will talk to
Paul at Sunward. Proposal to remove ambiguity will appear at next
meeting.
For next meeting-look at Dale?s list of questions about the books
(posted on Wiki).
Water useage by grounds: We should be very careful that we don?t run
over the limit of any one building. Has Scio Twp changed their policy
on how they bill for water? If so, we can give refunds. Will notify
Sunward if billing has changed.
For next meeting: talk about Twp water billing charges
Monkey: Willie or Dale bring this up at next Steering mtg.
