Finance & Legal minutes: 2003-07-20
Minutes:
AgendaF&L, Sunday 7/20/03
Attendance: Jim G, Dave B, Judith, Willie, Dale
AGENDA ITEMS
Insurance
--Kelly's email of 7/11/03: "I have contacted State Farm. They will change the policy to include garages and get our policy together. Tuesday, July 22, I will have the check amount that we will need to start payment on our policy. Then the only thing we will need is our transition date!"
--posting information so people know what kind of coverage to get--we'd like to get a statement from Barb Young about what people need in terms of condo insurance (in "insurance speak") so people can take it to whatever agent they like. Judith will do this and email results.
--JD has been on vacation, so Judith has not got a response yet on when we need to take over the insurance. Judith will follow up on the date.
Finishing up contingency
--wrapup by Willie at 7/21/03 meeting (10 minute decision)
--as of this morning, Willie has heard from only 10 people. Expects 40-50% of responses the last day/night. Dale sent out a reminder to GO Talk.
We believe that this is more in the way of presenting the results, not a decision. If anyone wants to change the list, they can do so via the usual channels.
Garage Proposal
--will be on 7/21/03 meeting (10 minute discussion) by Willie
--can this be a "decision"--We will ask the facilitators to check for agreement, and so possibly reach a decision at that meeting.
CDC to GO transition of association
--Selection of bank/credit union for account. Some of the local credit unions don't offer the type of account we'd like (such as money market checking accounts), and also might be slightly restrictive in terms of who is a signer (might need to be the person with the affiliation). Our papers of incorporation come from the state. Judith will talk to Nick about the papers.
--Judith: was going to get in touch with Nick/JD to see how & when this will happen.
CH/Garage Loan
--who, how, etc. Initial discussion.
--allow for early payment
Operating Budget
--Status of Hours & Dollars
--Status of committees
----Common House--is working, needs a few more days
----Rent per office is $200/month
----Include AED in budget? Dale will write up an email. Include other first aid. Ask for feedback from our health professionals. Can we have our members be first responders. Membership? Dale will try to remember to bring some of this to steering tonight. Use of dinner bell for emergencies. Dinner bell on CH budget?
----Process has updated several figures
--What to do next--announcement & handout at the next meeting? Final figures will be done by Thursday--give CH etc. until Wednesday for final figures. Dale will prepare handouts and make announcements.
--Dale will also announce that people should watch for insurance news!
What do we do about people who move in prior to a budget being adopted? People start paying when they close--that's already determined. What about setting a minimal association fee until we set the actual one. We are going to ask the facilitators to give us 10 minutes for a quick proposal (take 5 minutes from the contingency presentation). Dale will present and do a handout, and send the email out. (See email just sent for more details.)
We need to figure out how people pay the association fee--to whom?
Question for JD--when does he want the CH loan money? Dale will ask.
Decks
--Jillian's Trex (or boardwalk) rebate idea
--Master Deed pages 6 & 7, and what we do about those
--Make them like fences?
--ARC status?
Issues:
Some people may have picked Phoenix-built to avoid being charged for maintenance.
Suggestion that people are given an allowance based on the minimal deck size.
Maybe we can class this as LTCRF.
Item--we need to check with Nancy re: decks and classifying staining under LTC improvements.
Memberships:
--the Cohousing Association of the United States: $225/yr
--Fellowship for Intentional Communities: $100/yr
--ask for proposal from Membership?
F&L and the easement for Touchstone
--any action?
We have no issues to raise regarding this easement.
Next [[Meeting]]:
1st Monday at 7 pm, which is August 4.
3rd Sunday at 4 pm, which is August 17.
(Note that the next GO meetings are August 6 and August 18.)
