2. Task Review
Re-TASK: Jillian to work on new blocking proposal with Mary King and run a
new draft by Process. See previous minutes for details. Complexities to
this but will work on it.
DONE: Jillian will email facils about tri-cmty group and if we should
continue.
DONE: Becky H will check in with Willie about how his current BOA job is
going.
DONE: Jillian to reply to Syndallas and see if April 6 might work, and if
it would work then Jillian will check with Tammy; likely Tammy will be fine
with that.
TASK: At our next meeting, Process to go through the list from Willie of
BOA agreements that were meant to be temporary, and email them to their
respective committees and ask them to review and bring back a modified
proposal to the community, or, review and ask Process to mark them as
Expired in the BOA. Include the one about Common House Work Skills and ask
CH if that should be expired or not.
TASK: At our next meeting, Process to work on reconciling the three pick up
stuff agreements - Parents pick up toys / Everyone pick up toys and stuff
/ Everyone pick up all your stuff from all common areas - and bring one
back to the community to discuss replacing the three with.
TASK: At our next meeting, Process to look through Willie’s list of expired
agreements just to double check that we agree that all should be expired.
(All are findable in BOA when you click to “include expired agreements.”)
TASK: Process to bring the 5 year Vision agreement back to the community to
review this summer, since it was supposed to be worked on for Sept 2022.
TASK: Jillian to email Tom Smyth to check in about adding BOA into Gather
and if that project is still on his radar or no.

since Willie will finish up his tasks in March.

3. Report back from Willie and his BOA Old Content Cleanup job
Email from Willie to Process on 2/12/22 with a report back from his BOA Old
Content Cleanup job.
Willie marked agreements that were clearly expired, as expired. (Guideline
of marking anything that was a one-time deal that happened more than 3
years ago, or that has changed state (treehouse), as expired.)
Willie added summaries to some that did not have them - very helpful to
have for searching. Found eight agreements that did not need summaries -
like the Master Deed and some so short that not summarizable.
And a few discussion points. Some agreements are potential duplicates. A
while ago Willie created the “surpassed by” function, for when we revise an
existing agreement. Within the new agreement is a reference to the old one.
But there are some bugs and the “surpassed by” feature does not seem to be
working right now (maybe try Safari browser?). Seems like BOA content
enterers have not been using the feature but that may be because its not
been working. So new versions of existing agreements may not be linked to
the older one (but both are still findable in BOA). Known bug that Willie
is working on is fixing the “show previous version” function.
Duplicates section -
We went through Willie’s list of potential duplicates one at a time during
this meeting. Decided on some to mark expired.
Agreements that were intended to be temporary. These agreements could be
challenged, and in any case as a community it’d be best to neaten this up,
bring our agreements up to the present. Or lay them down.
TASK: At our next meeting, Process to go through the list from Willie of
BOA agreements that were meant to be temporary, and email them to their
respective committees and ask them to review and bring back a modified
proposal to the community, or, review and ask Process to mark them as
Expired in the BOA. Include the one about Common House Work Skills and ask
CH if that should be expired or not. Not an emergency of course, just
something to tackle over the coming months if possible.
TASK: Willie will reconcile the two air B&B entries. Proposal content is
the same, its just about the data above and below that.

Willie does not need credit for the Old Agreements job for this next
season, the task is almost done.
Agree that it’s very important for all members to be familiar with our
agreements. To help with this, it would be ideal to get the BOA into
Gather, the system that everyone is already in and using, but don’t know
when this can happen.
TASK: Jillian to email Tom Smyth to check in about adding BOA into Gather
and if that project is still on his radar or no.
4. Updates on Skills and Thrills Season
GO Anti-racism group plans to bring Alicia and Aaron Wilson-Ahlstrom into
the 4/6 community meeting (taking over Tammy’s alternative meeting, which
was ok’d by Tammy), for a full community discussion, they will send out
more details soon.
5. Next work season, any changes needed to job entries
I don’t think many changes are needed to the process jobs, other than
determining if the temporary BOA cleanup job continues.
TASK: Jillian will remove the BOA cleanup job for the next season.
Tri-community facils said they would still like to meet from time to time.
We do need to work on pre-assignments though.
With Susan and Sharon officially moving out we will officially lose another
skilled meeting facilitator. This could start to be a problem for Great
Oak. Happily Daniel and Syndallas have become pretty regular facilitators,
and, maybe some past facilitators would consider stepping in more regularly
again, such as Catherine, Tammy. Others?
