Minutes of 2-26-20 F&L Meeting


Present: Debbi, Sharon, Becky H., Becky G., Amy


1. MONKEY REVIEW

MONKEY: Amy will work with Becky H. to create a Google Form that we can
send out to people to gather mortgage info. - IN PROGRESS
MONKEY: Sharon will take a first whack at a definitions doc to accompany
the Master Deed and Bylaws - NEEDS MORE INFO
MONKEY: Becky G. will talk to Susan Rosales about coming to meet with GO
members to talk about insurance and write a tip sheet. - DONE - Likely to
have 30 minutes at March 16 Business meeting.

NEW MONKEYS

MONKEY: Amy to finish tweaks to Google Form so Becky H. can send it out to
people to gather mortgage info.
MONKEY: Amy will write to Sarah to ask to firm up the March 16 date for
the insurance agent visit, and to request that the item be first on the
agenda - REQUEST SENT 2-29-20
MONKEY: Debbi will send a draft of MD changes to Elph and Patti this
weekend, with a cc to Sharon for her use with the definitions doc
MONKEY: Debbi to go over F&L’s list of follow-up items from Skills and
Thrills weekend pasted in below - in progress
MONKEY: Amy to check in with Kathy, Mary, and Dale about jobs for next
work season. EMAILS SENT 2-29-20


2. Check-in on Master Deed and Bylaws changes; next steps

* MONKEY - Debbi will send a draft to Elph and Patti this weekend, with
a cc to Sharon for her use with the definitions doc
* Gathering updated mortgagee information
* Google form is about ready to go
* Definitions doc to accompany MD and Bylaws on Important Doc page
* Go over F&L’s list of follow-up items from Skills and Thrills weekend

3. Bookkeeping updates

* Arrears - A household will be over $2,000 by the end of the month if
no payment is made and we will take the next steps if necessary.
* Other - Becky plans to get the reports out soon.


4. Review action items we are tracking

* Kathy B. will come to our meeting on 3/11
* Visit from Susan Rosales, State Farm; tip sheet for condo insurance -
see monkeys

5. New matters arising

* Steps in the GCE between Jennifer’s unit and Sharon/Susan’s—is there
more for F&L to do? Grounds discussed and will follow up; any charges to
GO for the changes will be passed on.
* Jobs for next work season
1. Continuing F&L members: Sharon, Debbi, Becky H.
2. Continuing convener: Amy
3. Becky G will continue as Bookkeeper
4. MONKEY: Check w Kathy B. about check depositor job
5. F&L’s Admin Asst. needs are growing - Unit modifications, annual
chimney cleaning, mortgagee info
1. Ask Kathy if she’s willing to continue in the Admin Asst role
with these additional projects
6. MONKEY: Ask Mary if she needs more hours for Reserve
7. MONKEY: Ask Mary if she’ll do the budget again and Dale if he’ll
be an assistant

F&L’s Follow-up items from Skills & Thrills Weekend

F&L: We will do a 6-month check-in. MONKEY: Sharon will put the reminder
on F&L’s Google calendar at the 4-month mark, so we can get it on the
community agenda in the 6th month.
F&L: MONKEY: Define “major committees” for Master Deed article IV – F&L
will take this - DONE - this is defined in the Steering Committee mandate
F&L: Access to units in emergency – option to allow forcible entry for
time’s
sake. F&L will focus on the liability aspects of this (who pays for damage)
• MONKEY: Ask Rick: Is there a Good Samaritan law that will cover
us? MONKEY: Amy will bundle together the Rick questions. There are more
than this. Plus there’s one free-standing Q in the minutes. Debbi will
ask Rick. AMY SENT THE “BUNDLED” QUESTIONS TO DEBBI
F&L: Possibly ask Rick to strike references to “the development” and “the
Project” - MONKEY: ask him how much effort it is and is it worth the
effort? We’d like to do it, but not if it adds undue expense.
F&L: Discuss how changes will be assembled and shared with community
- Word-smithers: Debbi, Elph, Patti MONKEY: Debbi will send the
near-finished document to word-smithers Elph and Patti. They’ll decide
whether to meet or do this virtually.
- Send out draft minutes, Debbi will take what’s in them and incorporate
into documents, then word-smithing, then back to community
F&L: Add definitions of “cleaning, maintaining, etc. to BOA. F&L will do.
This would be an information document, similar to the Process
document on stand-asides in 2002. Not
a proposal, just info. MONKEY: Amy will put on our list of things to do
the creation of an info document to accompany the MD and Bylaws, with
definitions, etc.. Also include definitions. Cut and paste from minutes.
F&L: Bring forward proposal about responsibility for chimneys
