---------------
Wed 6/11/2008
7-8pm, common house sitting room and north patio
Present: Gail, Catherine, Jillian
2. Monkeys/Cooler/Freezer items from previous meetings:
FREEZER: bring this back for a future agenda (see minutes 9/14/05,
social expectations around parties and invitations.)
MONKEY and COOLER: Process to ask minute takers to come to a process
meeting at the start of each work term to talk about the full minute
taker job description, and talk about the using names issue so they
are aware of some of nuances.
COOLER: General discussion about meeting attendance and quorum
needed. And outreach to people - I think this came up around offering
specific invitations to households encouraging them to come. This
might be something process could bring to a community meeting, to
increase awareness - committees should be talking with folks who have
strong opinions about an area or idea, before the meeting, but also
will want them to come to the meeting itself, and a direct invitation
can be very helpful.
COOLER:
- Discussion about how CRC members are chosen, is that working ok?
COOLER: Naming names in committee meeting minutes, reread current
guidelines, make sure they're ok for both committees and plenary
DONE: guidelines about participation when you can't come to a meeting
- Infoco has a draft guideline.
IN-PROGRESS: Another thought for the future - give people credit for
being in a facilitation guild and then that group decides who is
facilitating when - and over a year you may facilitate a lot or not a
lot but you get credit for attending the guild meetings and being at
debriefings... More flexible and would end the problems of someone
being assigned to a meeting with a topic they are vested in. (More
like the old days, of raising hands at the end of a meeting for who
will facilitate the next one!) If this season's assignments turns out
to be hard this may give us incentive to switch over to something
like this... Might be a good followup with Laird's training being
done. Might help keep a cohesive group of folks of all levels of
experience involved in facil, rather than just 8 at a time.
Re-MONKEY: Catherine will buy hooks/attach fishing line for the new posters.
-------------------
Monkeys from the previous meeting, 4/8/08
DONE: MONKEY: Jillian will ask these 8 folks for info about their
ideas for alternative meetings for the summer.
DONE: MONKEY: Jillian and Gail will check in about this at 1:30 on
Saturday, before the work allocation meeting.
DONE: MONKEY: Gail will check in with Patti about infoco/process roles.
DONE: MONKEY: Jillian can contact Grace Potts and ask her what was
the 2 hour free workshop she had told Melisa and Rod she would do for
GO, and what is the series she would envision after that.
Re-MONKEY: Jillian will email this topic, Quorum and regular
community meeting attendance, to Patti to get on the Infoco stack,
for a joint process/infoco meeting.
--------------------------
MONKEYS from this meeting, 6/11/2008
MONKEY: CRC should talk about the fact that they can't all to rotate
off at the same time. What are the current CRC members each thinking
about their terms, who is willing to continue? If everyone wants to
continue for a while that's great, its just that when folks do want
to rotate off it needs to be staggered.
MONKEY: Gail will put stickers on the booklets about involving teens
in organizations and put in the process library.
MONKEY: Catherine will send out an email to talk about the booklets
about involving teens in organizations.
MONKEY: Jillian will ask Rod about the Grace Potts evening, see what
kind of feedback he heard about it from GOers.
------------------------
3. Check in with CRC
Catherine is here and is on CRC. In her view it is going ok. CRC had
been having monthly meetings, until the sandbox and a few other
events. But we are active with issues at GO currently. Email
etiquette is on hold a bit, Susan's life is difficult right now.
Don't need anything from Process at the moment. The stuff we're doing
is as a team, so far as I know! It's a good team, works well together.
MONKEY: CRC should talk about the fact that they can't all to rotate
off at the same time. What are the current CRC members each thinking
about their terms, who is willing to continue? If everyone wants to
continue for a while that's great, its just that when folks do want
to rotate off it needs to be staggered.
4. New items for the Community library in the sitting room - booklets
about involving teens
Catherine brought some booklets about being allies to teens, having
teens be part of an organization. They are from an organization
called Youth on Board that works with orgs to have youth on their
boards. Could be really useful.
MONKEY: Gail will put stickers on the booklets about involving teens
in organizations and put in the process library.
MONKEY: Catherine will send out an email to talk about the booklets
about involving teens in organizations.
5. Followup on the Grace Potts alternative evening in May 2008
Grace Potts - were people excited about her presentation? Interested
to continue? Hard to know. Grace said she needs everyone for the
whole time, but that will not be realistic for us. Still it has to be
valuable even if not everyone can come and even if we can't do the
whole Friday night thru Sunday morning.
Budget issues - the training budget was cut. But if we don't need the
emergency facilitation money for 1 day then we could use it for some
of that, but unlikely to cover it all, when you add in food and
childcare etc. Its hard to lead something like this yourself because
everyone who lives here is involved/invested, it's really helpful to
have an outside person.
Only if people are interested/excited to do it. Don't want to invest
our energy (and money) in it if folks are not going to want to do it.
Could check in with Rod, the convenor of that night, and see what he
thought about it, and if he heard any reactions from GOers.
MONKEY: Jillian will ask Rod about the Grace Potts evening, see what
kind of feedback he heard about it from GOers.
Gail heard that Grace is having a baby in October, also. Even if we
wanted to do it in November who knows if she'd be available! but, we
could ask if it turns out we want to.
6. Check in on the quorum issue
Quorum issue - next step maybe talk about it with infoco? Jillian has
a monkey about that already. A larger group than just us to get
ideas. How to re-energize people to coming. And, to look at the
quorum number of "half" - if we continue with "half", is that half of
37, even though we have three households who have said they are not
going to be part of the community process, and others who have never
come, even if they have not said outright that they never will.
Maybe part of it is, how we notify people about meetings and the
topics. For instance the topics of kids in the common house; its
critical the parents are there for the discussion.
7. Checked in about Monday's agenda briefly, looks ok. Unclear if CH
wants to bring forward the GO kids in the CH topic as soon as this
Monday, or if they want to talk about it more beforehand. Sarah is
willing to work on helping the issue come forward. Gail will send
draft out to Infoco. Jillian can facilitate it on her own if no one
can switch with Patti - as I recall it was hard to get the facil
schedule set up, folks are really busy in the summer. And several
people are trading off being facilitators and being minute takers so
hard to switch for that reason as well.
8. Next meeting
Process meets the 2nd Wednesday of the month, so our next meeting
will be 7/9 (Gail will be out of town). Also optionally can meet at
one of the Infoco meetings, if a joint topic is scheduled. Infoco has
the following meeting dates scheduled for the summer: 6/15, 7/11,
8/5. (Gail and Jim will be away 6/24 thru 7/14.)
