2. Monkeys
ONGOING MONKEY Patti bringing chocolate for the two community meetings a
month.
ONGOING MONKEY: facilitators - when there’s a new proposal, or discussion
of any new idea, ask for clarifying questions, then ask for positive
reflections about it, before they go into discussion of concerns.
ONGOING for a little while: Per request at the last meeting by new people,
facilitators to please bring out the meeting guidelines poster and actually
go over it at the start of meetings. They should please go over facilitator
guidelines too, even if we don’t have a poster. Should explain things like,
that facilitators are managing the stack and that they can adjust the order
to call on people as needed. (Could still write the stack down on a
whiteboard but the facil could choose to change the order.)
ONGOING MONKEY: Schedule a few refreshing policy moments:
o Blocking - Refreshing policy moment but also more discussion probably.
o Parking
o DONE Expectations for interacting with visitors (from New Member Packet)
o Cleaning up after yourself in the CH / Expectations for teen and youth
cmty work, CH access, and supervision
o Review of GO proposal and decision-making processes and revisiting
decisions
o Overview of BOA and how to search for agreements - demo
o Minutes must be emailed to their minutes email address for the BOA and
to talk.
o Refreshing policy moment on empowered committees
o ONGOING: Go over our community meeting guidelines
RE-MONKEY: Jillian will add to the BOA updater job description, tracking if
committees are sending in minutes, and if community meeting minutes are in
there too.
Re-MONKEY: process to modify our mandate template to add method of decision
making
ONGOING MONKEY: Willie and Yi-miau to work together on getting the missing
minutes back into the BOA, maybe one committee at a time, they will work
together.
Re-MONKEY: Yi-miau will mark the expired agreements as expired.
Re-MONKEY: In light of 12/5/19 community meeting discussion, review our
existing minute taking guidelines.
Re-MONKEY: Jillian will ask Willie and yi-Miau - re minutes and agreements,
when we go to www.gocoho.org and follow any links to Policies or BOA it
requires a login - is that new?
Re-MONKEY: Put initial skills and thrills discussion on upcoming community
meeting agenda.
MONKEY: For the Next work season, assess if process convenor should get
different amount of credit, add another job for 1 hour for convenor, and
add a Process member to be assigned two?
DONE: Patti will email Sarah for a 40 minute item for future agenda to
discuss stand asides and blocks.
Re-MONKEY: Jillian will work on draft of Agreement Reconsideration
Agreement to add more structure and will email to Process. And then will
email Sarah to ask for agenda time for 20 minute discussion decision.
MONKEY: Jillian will ask for agenda time for August regular meeting for a
skills and thrills item; will know by then if F&L is interested.
MONKEY; Jillian will check in with Elph about his work hours for online
information structure
MONKEY: Bob will email about talk who is on CRC and intention to support
each other. And potentially present an info item on CRC at August meeting
- would be good to do this each work season.
MONKEY: What if the Ambassador were tasked with presenting at a community
meeting each work season. AND/OR What if we had a “committee corner” at
each community meeting - two committees would be “on deck” for 5 minutes
each to share what they’re working on - does not have to be formal.
Ambassador position to Sunward and TS
Bob has worked on this position a bit. Wondering if it should stay under
Membership or would fit better elsewhere? There is some logic to having it
in membership though. Bob working on a spreadsheet of how each community
does different things, such as the committees. Eg Sunward - anyone can
propose a fun activity, if its under $50 can just do it, if over that
amount have to talk about it. Lots of best practices that might be good to
know. Facilitate communication between people doing similar tasks in the
communities and facilitate the sharing of resources. Bob asked about having
a neighborhood-wide position including Lakestone. But we have had that in
the past - eg the BBQ with lakestone in the culdesac - Sarah has done it in
the past, Aaron Wilson-Ahlstrom. It takes focus and work so it takes a
burning soul to make it happen.
Process’s main task is our decision making processes and effective
community meetings and effective committees.
Ambassador position lives in Membership but seems like this position would
have information of interest to all GO committees. Bring information to
community meetings. Process could help with where to store information. All
committees could connect to what the ambassador does.
MONKEY: What if the Ambassador were tasked with presenting at a community
meeting each work season. AND/OR what if we had a “committee corner” at
each community meeting - a committee would be “on deck” to share what
they’re working on - does not have to be formal.
Would be good to have someone from CRC present each work season.
If we were a 501c3 we could have a google drive / domain / place to put all
our documents.
At the last aging in place meeting there was some talk about applying for
grants for a 501c3.
MONKEY; Jillian will check in with Elph about his work hours for online
information structure
CRC
Announcement of who is on it - supposed to happen each work season. Each
currently working in isolation, but in the past there was more
communication among CRC - surprising how isolated each one is currently.
Yes good idea for CRC to meet periodically. I think it's important that CRC
members support each other. And newer members need to know about it.
Currently Yi-miau, Terrence, and Bob.
MONKEY: Bob will email talk about who is on CRC and their intention to
support each other. And potentially present an info item on CRC at August
meeting?
Diversity Video
Sunward does not plan to do anything with it, but Bob has it.
Skills and Thrills
F&L asked about potentially using skills and thrills this year to work on
master deed. We’d be making a series of decisions. We are all board
members, this is our core responsibility. How can we make it fun.
I told F&L that process would need to know by the August meeting if F&L was
serious about this. Why do people come to budget meetings? Because it
directly affects their life. How we could make it clear that this will too.
Some kind of games or some way to make it fun. Maybe not the lawyer for the
whole time. If we go through for four hours and then lawyer for last two.
Maybe even on separate days.
What if people submitted questions for the lawyer and people could guess
what the answer would be, and prizes for those who guess right, must be
present to win.
Next meeting 7/24/19 7pm in CH sitting room
