Process minutes: 2008-04-09
Agenda:
Process Cmtee meetingWed 4/9/08
7-8pm, common house sitting room
Present: Gail, Jillian
Agenda:
1. Checkins
2. Monkey review
3. Alternative gatherings for summer
4. Process jobs, infoco
5. Strategic planning day for GO?
6. Quorum
7. Next meeting
Minutes:
2. Monkeys/Cooler/Freezer items from previous meetings:FREEZER: bring this back for a future agenda (see minutes 9/14/05,
social expectations around parties and invitations.)
FREEZER: Process to request agenda time for discussion and brainstorm
about community meeting attendance.
MONKEY and COOLER: Process to ask minute takers to come to a process
meeting at the start of each work term to talk about the full minute
taker job description, and talk about the using names issue so they
are aware of some of nuances.
COOLER: Outreach to people not here to increase participation - I
think this came up around offering specific invitations to households
encouraging them to come. This might be something process could bring
to a community meeting, to increase awareness - committees should be
talking with folks who have strong opinions about an area or idea,
before the meeting, but also will want them to come to the meeting
itself, and a direct invitation can be very helpful.
COOLER: - the "knock on my door", do we need signals issue? Some
people use door shades, but some don't want door shades and some
don't want to worry about remembering to put it up or down. Maybe the
thing to do here is IF you have a system, tell people about it so
they know. Not that everyone needs to follow any particular thing.
COOLER:
- Discussion about how CRC members are chosen, is that working ok?
COOLER: Naming names in committee meeting minutes, reread current
guidelines, make sure they're ok for both committees and plenary
COOLER: guidelines about participation when you can't come to a
meeting - Infoco has a draft guideline.
IN-PROGRESS: Another thought for the future - give people credit for
being in a facilitation guild and then that group decides who is
facilitating when - and over a year you may facilitate a lot or not a
lot but you get credit for attending the guild meetings and being at
debriefings... More flexible and would end the problems of someone
being assigned to a meeting with a topic they are vested in. (More
like the old days, of raising hands at the end of a meeting for who
will facilitate the next one!) If this season's assignments turns out
to be hard this may give us incentive to switch over to something
like this... Might be a good followup with Laird's training being
done. Might help keep a cohesive group of folks of all levels of
experience involved in facil, rather than just 8 at a time.
Re-MONKEY?: Catherine will buy hooks/attach fishing line for the new posters.
-------------------
Monkeys from previous meeting, 3/2/08
DONE: MONKEY: Jillian will tweak the previous proposal and email to Gail.
DONE: MONKEY: Jillian will email Lisa to make sure the Alternative
meeting item is on the 3/17 agenda.
DONE: MONKEY: Gail will email out the Alternative meeting proposal
ahead of time, since its up for decision in one meeting. (If its not
possible to do it in one meeting its not the end of the world, its
just the goal due to the upcoming work survey.)
DONE: MONKEY: Gail will find out when the next work survey will be
coming in. Gail will check in with some of our roles (maybe Catherine
can help too?) - Infoco convenor, CRC, Agenda planner, and see if
they want to continue in the summer work term. We also should start
encouraging folks to sign up to lead alternative meetings. Also check
in with Alicia to see if she'd still like to join in the facil group
and see if anyone else is interested in that as well.
------------------------
Monkeys from this meeting, 4/9/08
MONKEY: Jillian will ask these 8 folks for info about their ideas
for alternative meetings for the summer.
MONKEY: Jillian and Gail will check in about this at 1:30 on
Saturday, before the work allocation meeting.
MONKEY: Gail will check in with Patti about infoco/process roles.
MONKEY: Jillian can contact Grace Potts and ask her what was the 2
hour free workshop she had told Melisa and Rod she would do for GO,
and what is the series she would envision after that.
MONKEY: Jillian will email this topic, Quorum and regular community
meeting attendance, to Patti to get on the Infoco stack, for a joint
process/infoco meeting.
--------------------------
3. Alternative meeting for summer
We have 8 people interested in 4 slots. So we thought it'd be good to
contact each one, see what they're thinking of, how urgent/flexible
their ideas are, if any can be combined, if any need warm weather, if
any could be done at a regular community meeting. Regular meeting
agendas can be light during the summer.
MONKEY: Jillian will ask these 8 folks for info about their ideas
for alternative meetings for the summer.
MONKEY: Jillian and Gail will check in about this at 1:30 on
Saturday, before the work allocation meeting.
4. Process jobs, Infoco
Like the idea of Infoco going down to one meeting a month for the
summer and putting more oomph into it, trying to rebuild enthusiasm
and learning during that meeting. Preferably closer to the 3rd Monday
of the month so we can also do agenda work.
MONKEY: Gail will check in with Patti about infoco/process roles.
Lilacc convenor will be dropped if no one indicates interest. Gail
will keep doing the newsletter without credit, but the committee will
not meet.
5. Strategic planning day for GO?
Interesting idea. There are topics that we simply can't do in a 1.5
or 2 hour meeting. Process has money to do an event in 2008, or an
outside facilitation weekend if we need it. If the woman Rod and
Melisa went to a class with, Grace Potts, perhaps could do something
to get us started? And then we could do a follow up, or have her come
back again?
How close together would a series of events need to be?
An alternative meeting could be a starting point?
As far as time of the year the late winter and early spring are
probably the best for strategic planning so it can be incorporated in
the following year's budget, but oh well. We could do it in the fall,
November, if need be and then if there are big-ticket items it can be
developed over the winter/spring/summer for the budget process of the
following year.
Maybe we should contact Grace Potts and ask her about her process,
what kind of timing she suggests. And maybe her first meeting with a
group is helping the group get clear on what they want to
strategically plan.
Her web site is
http://www.insightunlimited.org
and it says:
For more information, please contact Grace Potts at
grace at insightunlimited.org or Alice Leibowitz at
alice at insightunlimited.org.
MONKEY: Jillian can contact Grace Potts and ask her what was the 2
hour free workshop she had told Melisa and Rod she would do for GO,
and what is the series she would envision after that.
6. Quorum
As a community we need to talk about quorum and meeting attendance.
Its getting hard to get quorum. Maybe this is a good joint
process/infoco topic? Ties into turnover somewhat too, as well an
enthusiasm or understanding on members' parts about the community
meetings.
How can we re-energize as a community about these once-a-month
meetings where we need to talk about stuff.
MONKEY: Jillian will email this topic, Quorum and regular community
meeting attendance, to Patti to get on the Infoco stack, for a joint
process/infoco meeting.
7. Next meeting
Joint process/infoco meeting, 4/27, 7-8pm.
