6. Next process meeting
Minutes:
Process Cmtee meetingWednesday 2/13/08
7-8pm in the common house sitting room
Present: Gail, Catherine, Jillian
2. MONKEYS
Monkeys/Cooler/Freezer items from previous meetings:
FREEZER: bring this back for a future agenda (see minutes 9/14/05,
social expectations around parties and invitations.)
FREEZER: Process to request agenda time for discussion and brainstorm
about community meeting attendance.
MONKEY and COOLER: Process to ask minute takers to come to a process
meeting at the start of each work term to talk about the full minute
taker job description, and talk about the using names issue so they
are aware of some of nuances.
COOLER: Outreach to people not here to increase participation - I
think this came up around offering specific invitations to households
encouraging them to come. This might be something process could bring
to a community meeting, to increase awareness - committees should be
talking with folks who have strong opinions about an area or idea,
before the meeting, but also will want them to come to the meeting
itself, and a direct invitation can be very helpful.
COOLER: - the "knock on my door", do we need signals issue? Some
people use door shades, but some don't want door shades and some
don't want to worry about remembering to put it up or down. Maybe the
thing to do here is IF you have a system, tell people about it so
they know. Not that everyone needs to follow any particular thing.
COOLER:
- Discussion about how CRC members are chosen, is that working ok?
COOLER: Naming names in committee meeting minutes, reread current
guidelines, make sure they're ok for both committees and plenary
COOLER: guidelines about participation when you can't come to a
meeting - Infoco has a draft guideline.
IN-PROGRESS: Another thought for the future - give people credit for
being in a facilitation guild and then that group decides who is
facilitating when - and over a year you may facilitate a lot or not a
lot but you get credit for attending the guild meetings and being at
debriefings... More flexible and would end the problems of someone
being assigned to a meeting with a topic they are vested in. (More
like the old days, of raising hands at the end of a meeting for who
will facilitate the next one!) If this season's assignments turns out
to be hard this may give us incentive to switch over to something
like this... Might be a good followup with Laird's training being
done. Might help keep a cohesive group of folks of all levels of
experience involved in facil, rather than just 8 at a time.
MONKEYS from the previous process-only meeting 12/12/07
Re-MONKEY: Catherine will buy hooks/attach fishing line for the new posters.
DONE: MONKEY: Catherine will mention the new posters to the facils of
the next meeting, and ask the facils to put them out and also point
out to the group that they exist now.
DONE: MONKEY: Catherine will contact folks to set up a first meeting
of the new CRC group.
DONE: MONKEY: The new CRC group will ask for a short agenda item in
January to announce who they are.
DONE: MONKEY: Gail will let infocoers know that the 1/8/08 INfoco
meeting will be one where we work on scheduling people.
-------------------
MONKEYS from this meeting 2/13/08
MONKEY: Gail will announce at the Feb regular community meeting that
the question about Alternative meetings continuing will be up for
decision in March, in one meeting. Ask for feedback - please email
process or talk to any of us - should we extend for another certain
period of time, should we just say this is what we're doing from now
on? Should it be tweaked in any way? etc.
MONKEY: Jillian will let Patti know to add an Alternative Meeting
agenda topic to Infoco for 2/24.
MONKEY: Jillian will email Process the text of the Alternative
Meeting agreement, to refresh our memory.
MONKEY: Jillian will email Lisa to get the non-GO kids in the CH
discussion on the stack, hopefully for April.

3. Report on how CRC is doing
Becky, Susan and Catherine met once to get Susan up to speed, and
Catherine announced at the last biz meeting who is on CRC. CRC met
again today, working on some long-term issues. So far the current CRC
feels they are working well together.
Now we know the importance of continuity on CRC, and former CRC
members communicating with new CRC members to get them up to speed,
with the permission of any others involved in any ongoing issues.
CRC is talking about wanting to build in some sort of trigger for
getting help when problems are beyond the scope of CRC.
CRC is talking about what might come to the whole community -
creating a way to talk about taboo topics. Can there be a way to
discuss at the community level, what do we do when the communication
pathway doesn't work - because its too charged, or some parties are
not willing or able to talk, etc. What can we learn from a big issue
that was so hard to handle, to know what to do.
Another idea from CRC - would it be possible for a community story to
be told for people about what happened, in a big picture way, when
there is a big issue among households. It can't be wrapped up in a
bow, but a minimum amount of info so people can be supportive and
feel informed.
What do you do when its so hard that what we have set in place does
not work? Maybe it is about getting outside resources though, and
that is part of the communication pathway.
Each situation is unique. The people involved and the issue - the
same issue with different people might be able to work in very
different ways.
CRC should let process know if you need anything from Process,
Process is glad to hear you're meeting, good work.
4. Alternative meeting evaluation, agenda item for March/April
March meeting is probably important for this, for decision, since it
might affect the work survey in April a little bit.
Infoco is checking in with alt meeting leaders about their slots -
are they feeling ok about their 2 hours of work for it? So far its
been Pam and Megan. Hopefully we'll hear back from Infoco about that,
its on their monkey list.
Basically we have to reinstate the Alt Meeting agreement if we want
Alternative meetings to continue, it expires at the end April.
If we need a decision in March we need to propose something, so we
need feedback now to know what to propose.
MONKEY: Gail will announce at the Feb regular community meeting that
the question about Alternative meetings continuing will be up for
decision in March, in one meeting. Ask for feedback - please email
process or talk to any of us - should we extend for another certain
period of time, should we just say this is what we're doing from now
on? Should it be tweaked in any way? etc.
Jillian will be out of town for the March community meeting FYI.
I have heard comments that it can take a longer time to get something
decided. But on the whole I think I've heard people liking it.
And in the original proposal was the idea that we could have another
"regular" meeting when needed, if something is urgent.
We meet the 4th Sunday with Infoco, we could plan to talk about the
Alternative meetings topic then, if we've gotten any feedback etc.
MONKEY: Jillian will let Patti know to add the Alternative Meeting
agenda topic to Infoco for 2/24.
MONKEY: Jillian will email process the text of the Alternative
Meeting agreement, to refresh our memory.
5. Issue of non-GO kids in the CH - process bring forward a discussion?
Would this be a good topic for an alternative meeting? GO needs to
be clear so we can be clear with the kids - the basic idea is, no
non-GO kids in the CH without a Great Oaker present. But is a Great
Oak kid ok, or does it have to be a GO adult? Etc.
I wonder if Sarah might want to do that as her alternative meeting
topic? Catherine called her to ask. Sarah will think about it.
If she doesn't want to, we should just add it to the April stack
probably. We can ask for 30 minutes, one of us will "present" -
outlining the issue. Maybe at that time Alicia may want to jump in
with it too.
MONKEY: Jillian will email Lisa to get the non-GO kids in the CH
discussion on the stack, hopefully for April.
The tricky thing is it may spill over into GO issues around GO kids
in the CH. Eg, I make judgement calls about whether my kid can be
over at the CH on his own based on who is in the CH, who's around,
and if we make a hard and fast rule about it that may not feel so
good to me.
6. Next Process meeting
2/24/08 with infoco
(Note, Jillian will be out of town for a couple weeks in March, and
will miss the next process-only meeting on 3/12.)
