Hi all, Process minutes below - I apologize I had not announced the
meeting! But our next three meeting dates are in the minutes. :) -Jillian

2. ONGOING MONKEY:
Bringing chocolate for the two community meetings a month.
MONKEY: Jillian will remind GOers to fill in Pref for how they want to be
contacted - view as Table to see Pref (rather than photos).
Re-MONKEY: Mary and Sarah to share their handouts and powerpoint to the
Process cmtee google folder in drive. (See 3/19/16 Process minutes)
Re-MONKEY: SEPT 18, 2017 meeting - Sarah will be in Iowa -Sarah will ask
Olas if she can work with him to skype in as test
Re-MONKEY for next facilitator brunch: could ask facilitators - when
there’s a new proposal, or discussion of any new idea, ask for questions,
then ask for positive reflections about it, before they go into discussion
of concerns.
Re-MONKEY: Let’s schedule a few refreshing policy moments:
Parking
Cleaning up after yourself in the CH / Expectations for teen and youth cmty
work, CH access, and supervision
Review of GO proposal and decision-making processes and revisiting decisions
Overview of BOA and how to search for agreements - demo
Minutes must be emailed to their minutes email address for the BOA and to
talk.
RE-MONKEY: Sarah got a csv file of GO roster from Tom, as next step on the
meeting time survey question. Idea is a starting place of a list for who
lives at GO to collect attendance statistics.
MONKEY: Jillian will add to the BOA job description, tracking if committees
are sending in minutes, and if community meeting minutes are in there too.
MONKEY: Jillian will add Vice President (infoco convenor) and Secretary
(process convenor) into the mandate and email out new copy - check with
Debbi first to makes sure it is correct.
Re-MONKEY: Sarah, Patti, Jillian to go through the Active tab of Yi-miau’s
excel spreadsheet and each rate if we think something should stay active,
or S for surpassed, or E for expired. Then we will review at the next
meeting.
MONKEY: Sarah will let Process know what Mary and Sarah decide to do aka
scheduling a fall training.
MONKEY: Jillian will send out a few reminders about the 10/29/17
facilitator brunch.
MONKEY: Patti will email talk about meeting moved from 10/4 to 10/7/17
MONKEY: Sarah will put notes in cubbies re meeting on 10/7/17
MONKEY: Sarah will put up a sign on doors on Wednesday 10/4/17 about 10/7/17
MONKEY: Jillian will email a few meeting dates to Debbi and see what works
for her as a next step re steering and working on the strengthening
committees piece.

3. Mary and Sarah facilitation training for GO this fall
Mary and Sarah sent out a poll to find out if people would prefer a weekend
half day or split between two evenings. Got 5 responses, split. Sarah is
not here for very many Saturday mornings so they are tricky.
MONKEY: Sarah will let Process know what Mary and Sarah decide to do aka
scheduling a fall training.

4. TS training with Laird
Mary and Sarah feel the first 3-day weekend went well. FYI the next TS
Laird training is Feb 15-18, 2018. There were 21 participants. One from
Sunward, one from out of town (a prospective TS member) and everyone else
(19) from TS. Full range, of beginners to experienced people. Learning so
much about how the pieces mesh together. A group of dynamic young people.
Something like observe two and then guest co-facilitate?The weekend was two
plenaries and some committee meetings.

Idea to ramp up to facilitate across communities. Co-facilitate? Talked up
the tri-community facilitation brunch. Jillian ran into Sandra Greenstone
and she might be up for cross-cmty facilitation now that she has retired
from her demanding Steiner School job.

Next tri-community facilitation brunch is 10/29/17 at noon.
MONKEY: Jillian will send out a few reminders about the 10/29/17
facilitator brunch.

5. Any next steps on the Saturday 10/7 meeting - advertise? Create new
survey to follow up?

We moved the 10/4/17 evening meeting to Saturday 10/7/17 10:30am to noon.

How do we let people know? Emails, signs on doors, announcements.

Perhaps we need a more thorough survey than the one we did.

Should we do more Saturdays to try it out? Spring work season? This season
we only had one minute taker and one facilitator who could do it, and both
really preferred not to - just need to be aware/realistic that its harder
to have available workers for weekends, plus so many of our regular meeting
attendees said they could not attend on weekends. But doing a few seems
like a good thing to try.
Another way to split up the meetings?
Another idea to start some weeknight meetings at 7pm, that was also popular
in the survey we did. FWIW all GO meetings used to start at 7pm, we moved
them to 6:30 in 2007.

I think we’re on the right track with experimenting with a Saturday. I
think we should experiment with a meeting at 7pm again too.

6. Review results from cmty meeting discussion about structure, next steps,
skills and thrills?

Thought the meeting went well. An active steering cmtee would be a great
way to provide support committees. Debbi Schaubman took on convening
steering cmtee because she is interested in this topic which is great!
>From the meeting discussion, several people realized that its not a one
size fits all situation. Some cmtees seem to be doing fine in the existing
systems and structure and others not. So seems to be a committee by
committee thing. Some could use some attention and experimenting, other
structures, other ways of functioning. Maybe more subgroups, interest
groups, ad hoc groups with a particular task and a coordinator.
What is a good next step? Support Debbi! Talk with her and schedule a
process meeting with her - what kind of support can we offer? Help get the
word about a reinvigorated steering and next steps toward that.

Nice that committees are presenting their goals based on the vision, and
maybe a steering cmtee and/or adhoc cmtee could help them implement, keep
them on track, encourage them. The community is the decision making body,
but steering can help keep it on track.

Next multiple meetings might be full. We can wait and see if any might have
space or if any are not budget meetings. Decided 10/7 is not good for this
since so few process people can be there, no presenters.
