Minutes:

SCHEDULING FOR LONG SEASON

The Great Oak meal scheduling survey will opens in multiple phases to
accommodate the long work season. We decided, for the upcoming season
starting November 2018, to begin by scheduling the first two months. The
second phase of scheduling will follow in early December. See discussion
below.

We have another six-month work season coming up. Since people don’t know
their schedules so far out, we discussed how to acclimate to the long work
season. One idea is to schedule twice in the work season, for three months
at a time.

We realized how (not so) well this 2-phase scheduling handles the odd
numbers of shifts in the season--how to simplify the math if we are still
fond of dividing the season into smaller and more manageable length? Ideas
around breaking the 6 months into two schedulings (in lengths of 2 and 4
months) or three schedulings (in lengths of 2 months each).

The considerations include multiple scheduling survey may feel burdensome
to survey takers and meal scheduler, swapping meal shifts is burdensome,
too and creative swaps that involve multiple parties are unlikely to happen
organically which sometimes leads to meal cancellation, two months may be
too short, people are used to four months, season not in sync with UM or
school schedule, etc.

Our decision was to start with scheduling the first two months (November
and December). This gives the committee and the scheduler the ability to
see how it goes and then decide whether to follow with a four-month
schedule or two two-month schedules.

The following work season, the Meals committee and Willie should revisit
before the work survey opens to discuss whether we want to change anything
for the work survey, for example the number of shift / instances for meals
jobs.

FIRST AID KIT
The first aid kit in the common house kitchen is missing. We sent an email
out to the community. If we don’t have the first aid kit back by Friday,
Yi-Miau will ask the CH shopper to replace it. She will also ask the
shopper to look into some options to be ready for Friday. Post-meeting
note: the first aid kit was found and has been returned to the kitchen.


TOUCHSTONE GRILL QUESTIONS
Touchstone is wondering how much we spend on our grills. Tammy will ask
the Meals billers how much has been billed to Meals for propane for the
grills since May 2018, and follow up with Touchstone. Elph has already
supplied the amount that common house committee has spent on propane.

It looks like we spend around $135 - $150 per year on propane for the
grills.

LATE SEATINGS
We haven’t gotten response from head cooks saying they are willing to
experiment with late seatings. Yi-Miau tried it out and only one person
signed up for a late seating. We feel at this point that enough energy has
been put into this idea and that it doesn’t seem to be taking off. If we
hear more from the community about interest in later meals, we will revisit.
