Meals Committee Meeting Minutes August 14 2018Present: YiMiau, Terrence, Tammy, Becky H.
MEALS ACCOUNT BALANCE
$1690 in account, with several outstanding meals to reimburse, but checks
coming in. We are starting to see the difference after returning the pantry
fee to 12.5% after it was accidentally lowered.
No concerns from the meals billers, the account is doing better.
Meals is asking for a one time amount of $500 from the Critical Needs Fund
to bring our balance up to a healthy level.
JOBS FOR NEXT SEASON
Billers are pre-assigned--let’s ask Becky H. and Kathy whether they want to
continue for the whole next work season, if not, we should prepare to train
someone.
Shoppers job --dividing the job so each person has 3 months will probably
work
Scheduler--check in with Willie
Grill Cleaner, Farm Meal Coordinator--let’s deactivate for winter season
ServSafe--people who attended the training have fulfilled their commitment
to the community and now we would like to set up a new job: ServSafe
Implementation Coordinator. Tammy will support the person who steps up, and
also provide guidance as needed.This job will be one-time only and will
consist of some specialized shopping and also adding relevant details to
job descriptions.
YiMiau will continue as convener, we will pre-assign Tammy
We will ask whether there are committee members who are interested in
joining the Meals Committee. Tammy will roll this into the email
publicizing the ServSafe job.
WHAT HAPPENS TO MEETING NIGHT MEALS WHEN MEETINGS ARE SCHEDULED TO SATURDAY
MORNINGS?
We are going to keep the meeting night meal orderer job and also add the
potluck coordinator job into the description, so when there isn’t a
meeting, Tammy will share the info about this in the larger email about
changes to Meals jobs.
After the email goes out, we will decide who

MATTERS ARISING
Discussion has begun around the pressures that some head cooks may be
feeling to meet all dietary needs and preferences.
Are cooks feeling pressure? Do cooks know they can decide what works for
them, and how to respond to requests they do not think they can meet? Are
people avoiding the head cook job because they don’t know they can serve
the menus that they want to?
Susan joined the meeting by phone. Suggestion that people who want
substitutions can bring their own food. Requests that seem tiny may not be
to the cook.
How to educate the community--cooks/diners about our guidelines? Email
soon and a community meeting refreshing policy moment when we can get it
on the agenda. Catherine will draft an email for cooks and another for
diners.
We will also do a review of community allergens, and dietary restrictions.
Tammy will draft a survey and Yi-Miau will work with her.

NEW MONKEYS
Tammy will email the community about changes to Meals jobs
Terrence will email billers, shoppers and Willie about being preassigned
for the next work season.

OLD MONKEYS
REMONKEY Tammy will send out an email asking head cooks in the current work
season whether they will try out a later/second seating.
DONE Terrence will update Susan about our plan to pilot the later seatings
during the current work season.
REMONKEY Tammy will email the meals workers to ask them to check their work
shift schedules and make trades where needed.
REMONKEY Catherine will ask about cooking/cleaning shift attendance? Do we
want to ask head cooks in general how it’s going? Also, encourage people to
put the word out when there are lots of leftovers, and if still lots of
leftovers, if you want to let Gayle know, she will track it and make sure
it doesn’t sit there too long.
DONE Catherine will create a cook and cleaner email list.
