ONGOING MONKEY:
Bringing chocolate for the two community meetings a month:
Jillian just stocked up on meeting chocolate at Trader Joe's so we're set
for a while.
Patti will sometimes buy the salted chocolate covered caramels at CostCo
too.
COOLER: Once the GO contacts database is in MESS, Sarah may enter the info
we gathered at a community meeting in January 2016 about how members want
to be contacted, in to the MESS system.
Re-MONKEY: Mary and Sarah to share their handouts and powerpoint to the
Process cmtee google folder in drive. (See 3/19/16 Process minutes)
Re-MONKEY: Process should ask the community about community meeting times
and if First Wed Third Mon at 6:30 is still what people want. And, find out
why else don't they come to meetings, even though its a responsibility of
all who live here. Did not flesh out how - survey? Cmty meeting?
Re MONKEY: Process will see if we can find two people for the next meeting,
one who will skype in to the other's device (laptop or ipad etc)
DONE: Jillian will follow up with F&L to find out what they've learned
about state condo law and this input in absentia issue.
Re-MONKEY: Patti will see if she has the handouts from the community
discussion about Work in April. She'll scan it and email process if so.
Need to figure out how to get the survey results posted someplace where
they can be looked at in future.
Re-MONKEY: Sarah will read through the 3/21/16 parking minutes and suggest
next steps for a followup discussion at an upcoming meeting.
Re-MONKEY: Jillian and Patti will try skyping in on 10/5, or if not then
Sarah on 10/17 from Iowa.
MONKEY: Should we try to get some community meeting agenda time for skills
and thrills, once we have a plan outlined?
MONKEY: Sarah to put flier surveys in households with tweens and teens to
see if they have ideas for skills and thrills
MONKEY: each email a few people to see if they can help plan
3. Skills and Thrills next steps and next meetings
Jillian has the CH dining room signed out for the first weekend in
November, Nov 5-6. (NASCO is late this year, Nov 11-12.)
Patti and Sarah drafted a half page flyer to put in cubbies of households
with teens and tweens, to ask if they might like to do something for skills
and thrills, have not distributed it yet.
Also note, teens/tweens may be interested in being paid for child care!
We put out a note to see if others want to help plan the weekend and create
a program. Becky H is interested. Mary King is willing to help us plan but
won't be here.
Shall we trying asking some folks directly? Yes.
We would be asking them to come to two meetings about planning how the
weekend would unfold and how we support the group in meeting our goals.
This sunday 10/2, 1 to 3pm
Friday 10/14 7pm, Sarah to skype in from WI - 6pm Sarah's time (Or, less
desirable - during the day on 10/15, 4pm to 6pm)

The count is in!
The "master plan" item had the most dots, but with "visioning" a very close
runner-up, and as Process cmtee discussed what the nuts and bolts of
creating a plan really entails, we realized they are closely linked. So,
the focus for the GO Skills and Thrills weekend will be...
*Dreaming, Visioning, Goal Setting for the Great Oak of 2020*
Right now the schedule *under consideration* is:
Saturday, Nov. 5, 9am - 4pm
Sunday, Nov. 6, 1pm-3pm
*The Process committee (Patti, Sarah, Jillian) needs help planning the
weekend*. We're smart but we don't have a corner on good ideas. We would
like to work with 3 - 5 other GOers to put together a weekend that will
support GO in having fun, having lots of ideas and figuring out how to do
all the cool stuff we're bound to think of!
Please consider being a part of this amazing opportunity! Here is what is
involved:
* We are likely to have two 1.5/2-hour planning meetings between now and
then.
* Helping to plan does not mean you also do all of the work or even any of
the work / facilitation on the weekend

Syndallas pointed out that the teens/tweens need to be asked too.
MONKEY: Sarah will put a half sheet in households' cubbies that have
teens/tweens
"Winner" is Master plan creation and prioritization, funding, plans for
projects. Discussion how closely visioning seems to tie in with that and it
was of high interest too though not as high.
In the past we spent a weekend creating a landscape plan. Not all of the
things on that plan got done. Does this mean we need a process for
prioritizing big projects? Or funding big projects?
Planning could be committee based - each cmtee think about the next 5 years
what might come up, discussing what's important. Now we have all these
savings accounts but we need to know the goals for those accounts.
What if two hours in the morning were dedicated to committees meeting and
working, and then afternoon whole community working on what they present?
Part of the day should be a music jam - at lunch or in the evening
Dance party in the evening?
Some theme for the day?
Integrate arts and crafts in to planning process?
Maybe we could have a facilitator for each committee meeting, around the CH?
We could start with a big drawing of GO and people could stick on their
ideas?
Cover the wall with a huge campus outline and then add pictures and art
ideas - arial view of campus? Site plan / drawing to start with.
Its also Process cmtee, Membership cmtee. Doesn't have to be physical
stuff.
Mary would be great at coming up with a process for the committees to do.
Maybe interest groups as well as committees? So we could get to some other
topics? Like Aging in place or Living well with kids - groups could discuss
those and come up with their things to bring back to the full group.
Maybe we could do interest groups first, then committees, then full
community?
Morning for surfacing the needs and ideas.
Afternoon for the community giving direction, and the community can add new
ideas too
Then committees and groups meet again and look at things again
Then back to the whole community again for further digested work to
prioritize and discuss work needed and funding?
Need to be clear that if something comes up later, how can it fit in to
this existing plan?
Is "Master Plan" the right thing to call it? Sounds a bit closed? Hopes and
Dreams? Need to keep it open. What are we moving toward for the next 5
years. Have a sense of, the sizes of the trees, the ages of the childen.
Giving direction to the committees, but the committees are still empowered,
they can adjust and shift things if needed, they are the ones doing the
work and dealing with issues as they come up.
Great Oak at 2020!
Affirming values. What is important to us. How do we support aging in
place, living well with children, creating the community we want to have.
2020 vision?
Trooping around the landscape could be one activity too. A tour of the
campus - does everyone know the path to sunward, the great oak, where the
hazelnuts are etc
Each committee or interest group is sort of doing Visioning in this process
we're talking about. So. How do we give people knowledge about how to do
this kind of work?
Do an opening, do some exercises, maybe a visioning writing exercise?

Who can help us with this weekend, maybe can we bring in some additional
help?
I'd think we need some time on Sunday too. 6 hours on Saturday, and then 2
hours on Sunday afternoon?
9-4 on Sat and 1-3 on Sunday?
And work in a movie or music too.
Put out an email to GO to people who want to help organize the weekend, add
fun things, add planning and visioning tools? Need 2 to 3 more people to
help us plan the weekend. Doesn't mean you have to facilitation, just to
help create the weekend.
We'd need to get a sense of how many "stations" or interest groups we have.
Or we could just do it table by table in the room.
MONKEY: Should we try to get some community meeting agenda time once we
have a bit more fleshed out?
