MONKEYS and COOLER ITEMS

--------------------
From previous meetings

COOLER: Strategic planning discussion

COOLER: bringing forward a pre-proposal about giving feedback to
community meetings when you can't come to the meeting

----------------------
From the previous meeting 8/26/07:

Not sure: MONKEY: Rod will add new facilitators to Infoco - Alicia,
Robert, Megan, any others? Should make sure Elph, Mary King, Amy H
are still subscribed

DONE: MONKEY: Jillian will let Gail know that the facil/minute taker
schedule looks good, that she should please go ahead and let people
know.

DONE: MONKEY: Jillian will contact Lisa about the agenda planner role
for alt meetings.

COOLER for Alt Meeting topic: Discussion about HOW we talk about
things. It sounds like this fall we already have topics though, but
we should keep it in the cooler.

COOLER for Alt Meeting topic: revisit our vision statement

DONE: MONKEY: Patti will see if Tom Akiva might be willing to put a
copy of his booklets on group activities in the CH sitting room
library.

DONE: MONKEY: For Sept 5 meeting, Rod will contact CH committee and
see if they're interested, and then will potentially contact Grounds.

COOLER for Alt Meeting Topic: The teacher, Grace Bogs, that Rod and
Melisa had for strategic planning said she would do a 2-hour workshop
for free, might want to contact her for a spring alt meeting.

DONE: MONKEY: Jillian will contact Diana and ask if she could give a
bit more details - of how she will proceed - if she were going to
pitch each one to the community, what would she say?

----------------------
From this meeting 9/11/07:

MONKEY: Jillian will email out the three proposed topics for Nov 10
from Diana Kardia.

MONKEY: Patti and Sarah will check in with a neighbor about Nov 10.

MONKEY: Jillian will print out the parking agreement for the 9/17 meeting.

MONKEY: Rod should resend out the written proposal for the budget
process before the 9/17 meeting.

MONKEY: Alicia has reconstructed the basics of the minutes from the
second meeting in August and will send those out soon.

-----------------------

1. Rotation for infoco meeting roles

9/11: facil: Patti Minutes: Jillian
9/23: facil: Patti Minutes:
10/9 facil: Sarah Minutes:
10/28 facil: Elph Minutes:

2. Planning for the 9/17 Community Meeting

Process item about Nov 10 training.

MONKEY: Jillian will email out the three proposed topics from Diana Kardia.

MONKEY: Patti and Sarah will check in with a neighbor about Nov 10.

Jay wants a short CRC item (10 mins), info about who is on the
committee and a reminder of the communication pathway.

Parking check in - Parking ad hoc cmtee.
MONKEY: Jillian will print out the parking agreement for the 9/17 meeting.

It might be good to start the discussion with some questions:
- has the situation improved for you?
- how has it changed for you?
- has anything come up that are new concerns?
- maybe note that we have a few more spots now

Budget process decision

In August Rod proposed that we start with the existing budget and
tweak that, rather than starting over with the big survey.

The concern was that the survey did allow people to see the immediate
impact when we did change things - maybe you could use the survey on
a laptop on the fly in a meeting.

The committees still have to submit a budget request, still must
evaluate each line item. Still very committee based, good.

MONKEY: Rod should resend out the written proposal for the budget
process before the 9/17 meeting.

MONKEY: A note from Alicia, she has reconstructed the basics of the
minutes from the second meeting in August and will send those out
soon.

3. Strategies for discussing work not getting done

What needs to happen? Several levels of discussion we could have at a
community meeting.

Question, is there a feeling like we are in crisis about this now?

No. That's why this is a good time to talk about it, when we can get
some clear pathways in place to help prevent a crisis and keep things
working well.

So, if there are pent up feelings around this, one thing to do is
"clear the air" with a kind of sharing circle. If there's not a lot
of pent up feeling. But maybe we don't need to do that step.

Or could do a lighter version, just a check in, how is community work
going for you, how are you feeling about it. If you want a feelings
answer ask a feelings question.

One level to work on is, the basic question around if you feel work
is not getting done what do you do.

Need to create a clear path for people to follow if they perceive
work not getting done. Even a few steps before that - make sure the
job descriptions are made available, people know how to access them,
and that they are clear to workers. Make sure its clear who is
supposed to check up after which jobs, if anyone. If one job is to be
in charge of checking up on other jobs, need to make sure those lines
of responsibility are understood and those are written clearly into
the job descriptions.

Idea - self evaluations that committees can give to their workers,
how's it going for you, they can self score 1-10, do you still want
to continue doing this and if so what will you do differently next
time.

TS has a "work encourager" job. Could add hours to work cmtee
convenor job to empower and credit someone.

Actually that does exist somewhat at GO. Need a clearer pathway
though, a lot of stuff never gets to that person, its just general
grumbling.

Bigger issue: What do we as a community want to do around:
- someone who forgets to do work all the time?
- someone who refuses to do work?

Do we want to have some kind of reluctant spouse policy? We have one
household where one adult refuses to work.

How long can temporary arrangements stay in place?

These are more involved discussions, on a different level than the
other piece about more day to day work system issues. Would want to
tackle these in stages probably. Separate out the levels and that
will determine what kind of meeting setup is needed.

By and large our work system is GREAT, we have an awesome work
committee, and our work does get done.

4. Next Infoco meeting is 4th Sunday Sept 23, 7-8pm. (Sarah will be away.)
