Process cmtee meeting

Present: Becky, Gail, Jillian, Kelly (Elisha came in to let us know she's
not feeling well, had to go to bed. Feel better!)

2. Monkeys

MONKEY: We trade off, each taking a month in rotation, and some time during
our month we post a paragraph on "talk" about one book of our choice in the
community resource collection. We can take the description from amazon or
the jacket/cover if we haven't read it, that's fine.

MONKEY: We trade off bringing chocolate for the two meetings each month
(get reimbursed from Process meeting supplies) month by month:

MONKEY: Elisha will contact the red cross to find out about a visit to GO.

MONKEY: Kelly will contact Rowena about writing up a vision for the nature
club and will email it to Process. Process will help shepherd it out to GO,
through email and community meeting.

MONKEY: Gail will put out the scheduling request forms for the Process
meeting jobs, thanks Gail!


3. Steering cmtee mandate

Steering did meet last weekend and went through their mandate. Helen is
going to work on the mandate and then contact Process.

Gail looked through the mandate and will email her thoughts to all of us
and Helen. Thought that there are things to change/delete/update but that
there are still good reasons to have a steering cmtee. Feels there's always
the possibility that something will come up; we need to have a steering
committee ready in that case.

Should there be at least something scheduled? Once a year? Once a work
season? Some understanding that the group might get together?

Right, there are things that may come up, but the feeling at the Steering
mtg was that regular meetings are not needed. That the convenor would get
work credit for calling meetings if needed and being the point person.

Making sure people are aware that they might be asked to meet, that they
should be ready for it. Like for the swim club thing. Need to make sure the
convenor does not feel like they are supposed to make the decisions for
Steering, their job is just to call the meeting.

Question about committees functioning - if a committee is failing, it was
thought that steering would be aware of that, and bring it to the
community, but not sure if that was really happening anyway. Would need to
be clear that anyone who feels a committee is in trouble should bring it to
the community. (Or to process cmtee if not comfortable bringing an agenda
item themselves?)

Lets invite Helen to the first Tuesday in May Process cmtee meeting to talk
about her proposed revisions to the mandate. (Becky will be away.) The
mandate would need to go to decision at a community meeting too of course.


4. GO Nature Club

At Skills and Thrills kids were excited to create a nature club. Adults
volunteered to be involved. Kelly said she'd be willing to convene that
group of adults.

We were aware of how busy everyone is, not surprised that adults who were
originally interested did not answer the first call about organizing this
club, so thought that maybe Rowena could be involved, if there's dues to
help pay her. Becky contacted Kelly and Rowena, and Kelly is willing to
work on this and excited to contribute to making it happen, if there is
interest among GO families to participate. Hopefully if it is already
organized, parents will be excited to have their kids participate, and
themselves too if they are able to.

Talked about various ideas, such as a nature club that meets monthly, or a
Go skills and thrills half day event geared toward kids and adults learning
about nature. Or for Rowena to come to a Skills and Thrills as the
childcare and do a 3 hour event.

Also a fine idea to encourage kids to come help on garden setup day, and
community work days too.

We could email out to talk asking what parents and kids want? Do they want
to join a nature club that meets once a month?

Idea - maybe Rowena and Kelly could write up a vision of what could a
nature club could be if it met once a month, what kinds of things could it
do, and what funding would it need. We could email that out and bring it to
a community meeting. Then once we know people are interested, that group
could talk about when it might meet, what works best for the families
involved and for Rowena and Kelly.

Could potentially involve kids from all three communities IF Kelly and
Rowena wanted to.

"If you know something it shifts your relationship to it." If you really
know the pond and wetland the animals there, it makes you part of it.

5. Next work season and meeting dates

We may have an open minute taking slot - Willie is going to be meals
convenor instead of minute taking. We can see, maybe we could find someone
who would do one meeting rather than two. We could assign the open slots to
alternative meetings, might be easier to fill, potentially lighter demand.

We could advertise the open minute taking slot along with open meals.

Question about July 2, do we want to have a meeting? It seems like it might
still be ok to have it, in the middle of the week, not that near July 4.
Alicia, Gail, Megan, and Pam are the four alt meeting leaders.

6. Next process meeting
1st Tues in May is May 6.
