2. Monkeys

Monkeys/Cooler/Freezer items from previous meetings:

FREEZER: bring this back for a future agenda (see minutes 9/14/05,
social expectations around parties and invitations.)

FREEZER: Process to request agenda time for discussion and brainstorm
about community meeting attendance.

MONKEY and COOLER: Process to ask minute takers to come to a process
meeting at the start of each work term to talk about the full minute
taker job description, and talk about the using names issue so they
are aware of some of nuances.

COOLER: Outreach to people not here to increase participation - I
think this came up around offering specific invitations to households
encouraging them to come. This might be something process could bring
to a community meeting, to increase awareness - committees should be
talking with folks who have strong opinions about an area or idea,
before the meeting, but also will want them to come to the meeting
itself, and a direct invitation can be very helpful.

COOLER: - the "knock on my door", do we need signals issue? Some
people use door shades, but some don't want door shades and some
don't want to worry about remembering to put it up or down. Maybe
the thing to do here is IF you have a system, tell people about it so
they know. Not that everyone needs to follow any particular thing.

COOLER: Jillian had said she'd bring the parking agreement up for
discussion after a year, that will be a year in June.

COOLER: Ask for agenda time for Refreshing Policy Moments.

COOLER: Ask for agenda time for a brainstorm and dot storm in early
April for Laird weekend.

COOLER:
- Discussion about how CRC members are chosen, is that working ok?

COOLER: Naming names in committee meeting minutes, reread current
guidelines, make sure they're ok for both committees and plenary

COOLER: guidelines about participation when you can't come to a
meeting - Process and INfoco have discussed previously, but not
brought anything to a community meeting. Infoco minutes have a draft
guideline.

Re-MONKEY: Jillian will scroll thru the BOA agreements and see which
jump out as good reminders for Refreshing Policy Moments. (Gail
already did.)

MONKEYS from the last meeting 4/11/07

DONE: MONKEY: Jillian will email "talk" about how to email out their
minutes so that mailman will archive them, and when Willie writes the
"slurp" script, then the archivist will have less work to do.

DONE: MONKEY: Jillian will email infoco with Agenda request for
meeting time discussion/decision.

DONE: MONKEY: Jillian will email infoco with agenda request for dot storm.

DONE: MONKEY: Jillian will work on the list from the alternative
community meeting brainstorm and see if grouping makes sense and will
email infoco about it.

DONE: MONKEY: Gail will email some folks who have facilitated in the
past, one at a time and ask if they might be willing to do so for the
next 4 months.

COOLER: Refreshing Policy Moments discussion.

DONE: MONKEY: Jillian will email infoco about the hours we're looking
at for the June weekend with Laird (6:30-8 Friday, 1-4 Saturday, 1-4
Sunday) and see what people think.

DONE: MONKEY: Jillian will email Rachel about needing child care for
the June weekend with Laird.

COOLER: Another thought for the future - give people credit for being
in a facilitation guild and then that group decides who is
facilitating when - and over a year you may facilitate a lot or not a
lot but you get credit for attending the guild meetings and being at
debriefings... More flexible and would end the problems of someone
being assigned to a meeting with a topic they are vested in. (More
like the old days, of raising hands at the end of a meeting for who
will facilitate the next one!) If this season's assignments turns out
to be hard this may give us incentive to switch over to something
like this... Might be a good followup with Laird's training being
done. Might help keep a cohesive group of folks of all levels of
experience involved in facil, rather than just 8 at a time.

MONKEYS from this meeting 5/9/2007

MONKEY: Gail will rewrite the Community Reporter job description and
get it to Dorothy.

MONKEY: Gail will post the facilitation and minute taking
assignements on the work board.

MONKEY: Sarah will send the Participation Survey out on email again
and will put another copy in people's mailboxes.

MONKEY: We'll all mention the Participation Survey to people as we
see them, encourage them to fill it out.

MONKEY: We need to type in/compile the surveys as we get them,
Jillian and Sarah will type them in, will get together after Monday.
Will start typing them in now. Maybe we can email them to Betty and
get her feedback on what we might want to do at the next community
meeting.

MONKEY: Gail will put surveys in Jillian's box as she gets them.

MONKEY: Jillian will ask Betty and Laird for their travel scheds.

MONKEY: Sarah may be available to pick up/drop off Betty and Laird
depending on when they're coming and going.

MONKEY: Jillian will make sure to have half and half, coffee,
granola, hard boiled eggs, and yogurt around her house for Betty and
Laird.

MONKEY: Catherine will work on getting minute takers - will put
something out on "talk" and then follow up directly with individuals
likely to be willing. Two 45-minute slots on Friday night, and three
1-hour slots each on Saturday and Sunday.

MONKEY: Thursday and Sunday dinner Jillian will sign Betty and Laird
up under her household.

MONKEY: Sarah will look into how to do the money for signing up Betty
and Laird for Thursday and Sunday meals - should come out of the
Process budget for the weekend.

MONKEY: Jillian will remind trainees to sign up for dinner at GO that
Thursday night if they want to. And also will give a heads-up about
GO community meeting times.

MONKEY: Catherine will make sure meal cleaning up happens on Friday
and Saturday.

MONKEY: We still need a honcho for making sure cleaning up happens on Sunday.

MONKEY: Jillian will ask Elph about the rate for Zing cold cuts and
cheese for Friday lunch for trainees.

MONKEY: Catherine will pick Jim Sweeton's brain about ordering from
Star's for FRiday dinner, she may be willing to order it, and can
probably pick up the order.

MONKEY: Catherine will ask Keith about grilling for Saturday - he will!

MONKEY: Sarah will shop for Saturday lunch (see list below in minutes)

MONKEY: Sarah will ask Deb Alspector to make a big bowl of coleslaw
for Saturday.

MONKEY: We still need to find someone who will run out and buy bagels
and cream cheese on Sunday morning for Sunday lunch (to be reimbursed
by Process)

MONKEY: Sarah will ask Lisa about making a quiche in a glass pan or
two for Sunday lunch.

MONKEY: Jillian ask Elph about making coffee both days

MONKEY: Jillian will send out emails about Sunday potluck

MONKEY: Jillian will email Meals about writing up the various meals
into the calendar.

MONKEY: Jillian will look at our budget for the weekend again,
subtract childcare money and see how much we have left.

3. Work stuff

Those two community meetings were cancelled by the full group, so no
community meeting the first week of June or the first week of July.

MONKEY: Gail will post the facilitation and minute taking assignments
on the work board.

Dorothy has been assigned the Community Reporter role. The job
description is not up to date.
MONKEY: Gail will rewrite the Community Reporter job description and
get it to Dorothy.



4. Participation Survey

Gail got seven on paper. Jillian had a few on email. So far people
are all over the place opinion-wise. There was some talk about
pursuing people in a face to face way, encouraging people to fill out
the surveys. Posted deadline is Monday.

MONKEY: Sarah will send the Participation Survey out on email again
and will put another copy in people's mailboxes.

Mary's idea of approaching people directly is a good one. But
committee members do not have time to commit to calling everyone.

MONKEY: We'll all mention the Participation Survey to people as we
see them, encourage them to fill it out.

Gail, Sarah, and Catherine will fill it out too! =)

4. June planning

Times:

Transportation: We need to find out Betty and Laird's schedules.

MONKEY: Sarah has been available to do that in the past but need to
know the info. Getting Laird from the train station when? Don't know
yet.

MONKEY: Jillian will ask Betty and Laird for their scheds.

Betty stays at unit 18.
The guest room is signed out for Laird.

MONKEY: Jillian will make sure to have half and half, granola, hard
boiled eggs, and yogurt around her house for B and L.

Minute taking: maybe we could do hourly slots as a way to entice
people, they don't have to sign up for the whole meeting. We could
try to do that ahead of time, and will probably have to ask at the
meeting.

MONKEY: Catherine will work on getting minute takers - putting
something out on "talk" and then following up directly with
individuals likely to be willing would be good.


Meals:

Cleaning point people: Maybe we could get a couple people to agree to
take point on getting other people to clean.

MONKEY: Catherine will make sure cleaning up happens on Friday and Saturday.

MONKEY: We still need a honcho for making sure cleaning up happens on Sunday.

FRIDAY lunch, for trainees only (approx 15 people). How about we look
into a cold cut/cheese kind of thing. Needs to be fully paid for by
Process funds.

MONKEY: Jillian will ask Elph about the rate for Zing cold cuts and
cheese for Friday lunch for trainees.

FRIDAY dinner, for trainees plus whole community, approx 50 people.
Let's order Star's Cafe for 5:30. So we need a food orderer and also
to pick it up. Lentils and rice, hummus, fattoush salad and dressing.
Jim Sweeton has done this in the past. Wonder if Mel or Tammy might
be willing to order it?

MONKEY: Catherine will pick Jim Sweeton's brain about ordering from
Star's, she may be willing to order it, and can probably pick up the
order.

SATURDAY lunch, for trainees plus whole community, approx 50 people.
People would sign up via the meal program, but it would be subsidized
by Process funds.

we'd need:
- someone(s) to shop
- someone(s) to grill and just set out the food that was purchased,
and the paper goods
- someone(s) to honcho cleaning up

Shopping list for Saturday: hotdogs (or could get fancier and get
bratwursts?) and tofu pups, buns, ketchup, mustard, potato chips, and
check on paper supplies - paper plates, napkins, plastic forks. And
either buy a large bowl of coleslaw, or, see if someone will make a
big vat of it.

MONKEY: Catherine will ask Keith about grilling - he will!
MONKEY: Sarah will shop for Saturday (see list in minutes)

Saturday dinner the trainees will eat out.

SUNDAY lunch for the trainees plus the whole community, approx 50 people.

Sunday lunch - brunch/lunch potluck - Process to get bagels and cream
cheese and maybe Lisa could do a quiche? Maybe we could do a targeted
potluck, ask people to bring specific things for Sunday, such as
fruit.

MONKEY: We need to find someone who will run out and buy bagels and
cream cheese on Sunday morning (to be reimbursed by Process)

MONKEY: Sarah will ask Lisa about a quiche in a glass pan or two for
Sunday lunch

MONKEY: Jillian will email Debbi S and let her know about June 3
meeting going right up until dinner prep time, the dishwasher will
run etc. Might be best to have an easy meal that night.

So there will need to be a shopping for Sunday, for bagels and cream
cheese at least. That could be put up in the meals signup, and also
listed as POTLUCK. We could put out an email listing items we want
brought and see if poeple will commit: eg fruitsalad.

4. Next meeting

Infoco meeting was moved to Tuesday May 29th 7-8pm, so hopefully we
could do any last checkins then.

Next solo process meeting will be June 13.
