Steering meeting February 3, 2013

GROUNDS:

- Damage to fence(s) on the east side by parking - Considering less
expensive fix-up options

- Railing next to basketball court stairs ,...... waiting for more bids (2
in so far). Want lights fixed to the railing.

- Other things: Improve the former chicken yard which suffered from
drought. Improve piazza. Rehab or grass on south lawn.



PROCESS:

- Process went to talk to F&L about problems. Debbie volunteered to
help them (YAY Debbie!). They also talked about strategies for regularly
bringing F&L issues to community meetings. Process went to work committee
meeting to talk about community guidelines for work issues (who is
responsible for work and how that gets modified?). Laird might come to
facilitate a related training in next skills and thrills in November (he
,...owes,...- us a facilitation for us hosting FIC).



BUILDINGS

- Carpet policy ,......

- Insulation ,...... some unites need more insulation, how to get that
done? Buildings is trying to figure how to do this cheap.

- Radon indicators need to be checked because they have not been
checked for a while.

- Smoked alarms in units need to be checked and most replaced (it,...™s
been about 10y). Looking into possibly doing a group buy. Should this be in
the reserve fund?

- Garage doors are getting old, but houses are a priority

- Walk-out doors are drafty. Door replacement is in the reserve fund
for 2028.

- Rain gutters over the hot tub

- Next time we paint we are going to paint whole building, not just
one colour.

- Small gutter repair on Helen,...™s building



MEMBERSHIP

- started to send update reports every end of month to let people
know who is in and who is out

- Besides asking new members to send out a short bio of themselves
to the community, we're asking for a refresher bio from the other
members.Everyone should send a bio to membership, and they will send
them a few at
a time to the community. Those who send one before anniversary party will
get a treat in their cubby.

- Anniversary party next sat! There will be a photo booth so we can
update our photos on the registry.

- Parade of 2012 babies, special recognition of 2012 members

- New members will have an ,...orientation buddy,...- in addition to the
official orientation.



COMMON HOUSE:

- New laundry room policies and sigs coming up Monday.

- Grey rug missing from inside the CH, opposite from play room

- CH door codes changed (new code in your cubby)

- Elliptical: Email will follow about the request to go test some
pre-chosen models so that you will get the one you want!



Other issues:

- How to make sure that community rules are being followed, and what
to do when they are not? For example sometimes children are in the CH
without adult supervision doing unruly things and will not listen to other
adults.

- Some anxiety about people not parking in their garage when they
have one.

- New adults entering the community without joining the work system

- It,...™s very problematic when people store wood for their stove on
the porch. It should be off the ground, covered, and dry. Also, do not put
it in the garage! It can attract carpenter ants and those will KILL the
buildings! Including yours!

- Quote about the general state of the porches from a community
member who wishes to remain anonymous ,...Some of these porches look like
Alaskan gardens!,...-

- So, how do we enforce the rules?

- Perhaps try to have the friends of the people ,...breaking the rules,...-
to talk to them? This way the evil message would come from a friendly
messenger. Will work on this for now.

Work Committee Update via email

- Members of Process met with Work to discuss Work's interests
related to the issues of community members' participation; we covered
strategies and ideas to include incorporating this into a Laird training in
November. The Work Committee has not had success with community
presentations and process for dealing with work participation issues.
Strategies might include providing more information to the community and
more process with the community. Discussions will continue within Work and
with Process. This is not urgent but it is important in order to have a
sustainable work system in the future.

- We are now beginning to plan for the Spring Work Season.
