Process minutes: 2007-04-11
Minutes:
We could put up this list, ask if there's a topic anyone wants toadd, then do an initial dot storm - if everyone had three dots for
first round, then we take the top three, and do a second round in
another color where everyone had one dot? Then if there's a clear
winner, we can spend some time talking about, what do people think of
when they think about that topic? What would they want to cover?
We could introduce the initial ideas for 10 minutes. If people have
new topics, explore if they're new or subheads of existing topics.
Then distribute the 3 dots per person, for a 5 minute dot storm. Then
look and narrow down to idealy 3, then distribute 1 dot per person.
Then discussion result, what does that topic mean to people.
how long do we need - 30 minutes? Which of us will present?
MONKEY: Jillian will email infoco with agenda request for dot storm.
C. community meeting alternative formats - discussion of brainstorm from 3/19
We may not have much time left for 4/16 agenda! Is there any quick
next step we could take to get some more work done on this, without
having to delay it until May community meeting?
The suggested next step was to do more small group discussion around
the brainstormed list. I don't think we have enough time to do small
groups at the 4/16 meeting, hm.
This list needs to be sorted. Some of it seems to me to be almost
purely social. Some its hard to know what it means - "talk and task"?
Some are formats for meetings, others are ideas for other kinds of
events, doing work together. Ways that we could spend time together,
for the purpose of getting to know eachother or getting something
done or learning about something or just having fun. Maybe it would
be useful to do some categorizing? Here's a start:
Different goals for the gatherings:
- getting to know eachother
- learning about something (can be GO or non-GO related)
- getting something done (could be GO or non-GO related)
- having fun
- discussing a GO topic
- kid involvement in whatever happens
Different formats for the gatherings:
- sharing/heart circle/talking stick
- small groups develop topics (cafe)
- open mic
- ritual
- use physical exercises like the continuum
- speed dating
Different days/times/locations for the gatherings:
- different nights of the week
- on a weekend day
- off site
So if we made a list like this with all the brainstormed items, then
what? There needs to be discussion. In the full group? In small
groups? original idea was small groups but we won't have time. Could
ask the group if this sorting is useful, and then discuss? Get more
reactions?
MONKEY: Jillian will work on this list from the alternative community
meeting brainstorm and see if this grouping makes sense and will
email infoco about it.
Maybe we can see if Sarah and Melisa have other ideas and how much
time we'll have.
5. Job assignments for upcoming season, and work party on Sunday
So far there are only 3 people who have given positive preference for
facilitating. So we need some more people. Should we send emails to
some people who have facilitated in the past, or expressed interested
in facilitation, and ask if they'd consider changing their preference
in the survey, it can still be changed. Yes I think so. Remind people
that they will be cofacilitating - folks who are new can pair up with
those who have been doing it.
MONKEY: Gail will email some folks, one at a time and ask.
COOLER: Another thought for the future - give people credit for being
in a facilitation guild and then that group decides who is
facilitating when - and over a year you may facilitate a lot or not a
lot but you get credit for attending the guild meetings and being at
debriefings... More flexible and would end the problems of someone
being assigned to a meeting with a topic they are vested in. (More
like the old days, of raising hands at the end of a meeting for who
will facilitate the next one!) If this season's assignments turns out
to be hard this may give us incentive to switch over to something
like this... Might be a good followup with Laird's training being
done. Might help keep a cohesive group of folks of all levels of
experience involved in facil, rather than just 8 at a time.
COOLER: Let's bring this back to the next process meeting, didn't
have time to talk about it tonite.
6. REFRESHING POLICY MOMENTS
Gail did some research:
After a quick look at the BofA, here are some topics I think could be reviewed:
Buildings: Basement Buildout, Air conditioners
CH: Room use, general use guidelines
Grounds: Truck use, planting trees and shrubs
Work: work agreement (revised)
Parking
Another idea: when a committee prepares a handout for a refreshing
policy moment, perhaps they could include a section of "other
agreements you might want to know about" to encourage folks to look
them up on their own. One that comes to mind is the fence policy -
probably most who are going to build a fence have done so but a
newcomer should know that there is a policy and know how to find it.
