Common House minutes: 2012-10-13

Minutes:

Present: Heather, Julie, Paddy, Becky.

*Budget -*

Can we cut more from out 2013 budget?

Mystery of Hot Tub. Becky consulted both Erik and Eric about insulation
and how to start. We need to talk to them together to get a good idea of
how proceed and get real numbers. Becky will try to coordinate with the
Eric/ks to make any improvement we can this year with 2012 money. Can we
just turn off the hot tub for a year? How much would it save? Concern is
that if we shut down tub for a year it would be hard to bring it back
(financially).

We have $500 we did not end up spending on the online reservation system so
we can use that on insulating the hot tub.

Still want to replace the Media room sofa this year with 2012 improvements
fund.

This winter we need to have Robertson Morrison service all 3 CH furnaces
(needs to be done every other year). We should have them come now if
possible. Heather will call. Elph just changed filters. Paddy will
update signs for the thermostats reminding folks of the maximum temp of 72
and to reset when leaving. Perhaps we should also remind folks at a plenary

Elph is changing timer on hot water circulation - we hope this will solve
problem of scalding water at the taps.

Improvements idea: add closed storage above cubbies for storing bulk
supplies. How much would it cost?
Talk to shopper about saving $$ by buying bulk

Let's drop our improvements request from $1,200 to $1,000.

*Laundry room*

Issue of scented products has come up lately - we should have a
conversation about whether we need to switch to unscented only. Let's
discuss this at next CH meeting, inviting folks to give us their input
before or come to meeting.

*CH cleaning *

Cleaning has been spotty and we've had some complaints. Heather sent email
reminders to all cleaners and things have improved a bit. We need to add
the cleaning coordinator job next work season.

*Work day*
High dusting mostly finished, closet organized. Next workday need dryer
vents cleaned, baseboards dusted.


*Online reservation system*
We want to try Adi's system (it's free!). We'll have to get time on
meeting agenda for training and make the switch on Jan 1. We will have to
shift existing reservations from book to online system - Heather and Adi
can do this so reservations are attributed to correct people. Needan
up-to date meeting schedule from TS.

Can we click on name of person who has reserved to email them?
Can we limit how far out and how often a reservation repeats?
Admin override feature?
Easy ability to block out a day (for work days)?
Entire calendar view is visually confusing. Very important to be able to
see easily what else it going on in case of conflicting events (eg. rock
band practice in dining room overpowers meditation retreat in game room).
Add office times for Kelly and Melissa.

Can we authorizing paying Adi for this? What is the policy about this?
Work hours for next season?
