2. Monkey review
COOLER: Process will look at our agreements in the BOA and make a list of
what should be marked expired, and ask other committees to do so as well.
MONKEY: At announcements at every meeting just remind people, about writing
thank-yous and about putting pet photos on the thank you board. Also, a
reminder that if someone wants to appreciate something but doesn't know who
did it, they can post a thank you note on the thank you board.
WORKIN: Jillian, Rod, Patti, Elph, Gail, Nicolas, Becky H, Judith will write
thank yous and put them in Great Oaker's cubbies, including the Thank you,
to whom, for what, from who. Ideally two a week but the main thing is just
keeping it in your awareness and doing it when moved to do so.
Re-MONKEY: Jillian and Gail will write answers to the draft self-evaluation
questions before the next meeting. Then we'll pass it along to Infoco and
let them do it. And then see what we think of the questions and answers and
if we want to pass it along to other committees.
DONE: Jillian will email agenda planner a request for an item in the August
meeting, 15-20 minutes, to work on the idea for the fall community weekend
even. We can list the current ideas, brainstorm more ideas, and then dot
storm.
MONKEY: Gail will email Jillian the meeting schedule and will email budget
and F&L folks to remind them of the fall budget meeting schedule too.
MONKEY: Jillian will check in with CRC and invite CRC to an early fall
Process meeting to see how its going with a new member, and how they feel
about their hours.
3. Process job scheduling
Gail did the surveys and has the schedule figured out from the results and
after we talked with Mary at Infoco. That is, presuming that the budget
meetings happen at the dates we currently think they will. The only person
Gail didn't hear from was Tom on minutes so Gail will schedule him and he
can switch if needed.
MONKEY: Gail will email Jillian the schedule and will email budget and F&L
folks to remind them of the schedule too.
4. Agenda item on Monday, for the November meeting
10 minutes. Present the ideas submitted to Process already, and then
brainstorm - what do YOU think would be a great way to spend our community
weekend time this year - and then dot storm.
Currently slotted for the weekend of November 12-13. Generally its 8 hours
long, and sometimes its been on one day, and we've also done two four-hour
half-days.
Write up on a large piece of paper, what Process cmtee has heard so far:
- continue the conversation about practical ways to make GO more sustainable
(started at Megan's Alt meeting)
- a community art project
- focus on home maintenance, how-to, tips for upkeep
- a discussion about community work
- community-building activities to help long-timers and our new people
connect
Ask for other ideas. Note, sometimes we get suggestions that don't need a
whole 8 hours, they might be ideal for Alternative meetings. Or do two
ideas, each for a half-day.
Depending on how the brainstorm goes - if we have enough time, we can ask
people to put up 2 dots on their favorites right then, and then if there are
clear winners maybe we can talk more about those few. Could even narrow it
down another level if possible, but we can also leave the posters up for
people to add their dots who could not be at the meeting.
Not ideal for Jillian to present this since she is a facilitator but she can
do it, no one else wants to. Jillian will ask Elph to facilitate that
section.
5. Misc things
Hours for CRC (conflict resolution ctmee) question. It is very variable, you
just never know when something big will come up. Need to assign enough hours
to make it a job people are willing to do. We ask CRC to serve several
consecutive terms if possible, so it should balance out over a year.
MONKEY: Jillian will invite CRC to an upcoming Process meeting to check in
with them, see how its going with a new member, and how they feel about
their hours.
Convenorship has been talked about lately. How to make it more approachable,
more do-able. Been talked about before, specifically around Grounds cmtee.
Steering talked about it, pointed out that the convenor has specific tasks
but they should not have to do everything or feel pressure that they are
supposed to do so - which is why people are probably not signing up. Can a
committee with lots of tasks and aspects to it, quantify what they do like
Work cmtee has done - then at each cmtee meeting you go look at your list on
your wiki pages, broken down by months, of what you're supposed to be doing,
the convenor doesn't have to do everything, just needs to make sure that the
committee follows the list. Side note, it would likely help to clarify that
people who have important committee jobs are expected to come to committee
meetings even if they aren't counted members.
Just talking about it and making people aware can ease the problems.
I didn't see a next-step or request for action from Process in the
Work-Grounds discussion but wanted to bring it up.
