Minutes of GO-Steering Meeting 3-6-11Present: Gail, Amy, Willie, Jim, Kathy, Katie, Nicholas
1. Jobs for next season

b) TS Ambassador: Willie will put a positive preference for this
2. Other business
Willie missed the last TS Steering meeting because the date was changed but
Willie was not informed of the date change.
3. Committee reports
Common House
Last Wednesday’s comty meeting gave us a great deal to follow up on. Will
work on the logistics for putting the CH reservations on line. Got a lot of
good info on people’s feelings about our relationship with TS. Seemed like
there were things we can work on that will improve our relationship. Need
to work jointly with Meals on some kitchen and dining room issues, such as
storage.
Meals
Haven’t met. Last meeting intended to discuss who would replace Nancy as
convener but Mary was the only person able to attend. Work Com is concerned
that Meals has not been meeting regularly and that there has been little
turnover. Meals will look into who has expressed interest in being a
counted member in the past to see if they can get some fresh minds. Meals
biller – Gail is willing to continue; Kathy also willing.
Grounds
Working on spring season and spring work day jobs. Ice and snow removal
continue to be a topic of discussion. Budgeted $600 for ice melt, and have
spent $750 already. Suggestions about methods to improve: such as putting
salt down before storms. Katie is looking for cheaper garbage removal as
our rate keeps going up. Jillian has proposed putting in an orchard on the
CH north slope; would like to move forward; she will be asking for
donations.
MONKEY: Katie will ask about the height of the trees re: concerns about
whether the trees would block the view of the wetlands.
Talking about the next year’s projects: how can we improve CH South Lawn
without spending a fortune? The native bed is a contentious issue – some
people think it looks messy; others really want us to have native plants. How
can we make it look neater?
Parking lot issues: there are some ideas about making it better without
rehashing the whole parking issue, such as better signage for visitors so
they know to park on the side of the road.
Tree distance from buildings is on the monkey list. Our recommendations
don’t seem to make sense in comparison to recommendations from extension
service.
Will be bringing to the next GO community meeting: inviting people to say
what would have to change in the Grounds convener job in order for them to
consider taking it.
Work
Passed the contingency hours proposal – not new, but formalized. Next steps
on reforming the work system: 1) Who is responsible for doing work? 2) What
makes someone eligible for a reduced quota? Research what has been, ask for
comty input, before creating a proposal. Working on details for upcoming
workdays (April 30 and May 14) and the upcoming work allocation.
Finance & Legal
Will soon bring forward a proposal to amend our agreement about Late
Association fees to make the last day of the month the due date for
Association fees, and clarification about when late fees are imposed. Carl
will start reporting about arrearages. He sent a narrative e-mail message
today about this; this may be the best method for getting the word out. Carl’s
careful review of the Reserve Fund spreadsheet turned up a few errors; some
were insignificant, but one will be corrected through a charge, another
through a credit. We received a bill from Scio Township – there is some
confusion around this. Might it really be TS’s charge? And what about the
illusive C of O? Mary arranged for Scott Martin, the Scio Utilities
Director, to visit GO on 3/9 to discuss this and other issues. Master Deed
updates remain a priority. Have updated jobs for next work season.
Process
Last meeting was with CRC, to find out how things are going. Good meeting.
Alex is moving off; Kate Long is interested in joining. Will be working on
a community development event at some point in the future. It would be
helpful to see an “anonymized” report saying “we have worked on x conflicts
in the past x months involving x households or individuals.” We would like
to know if there is a lot of conflict and how busy the committee is.
