assign - lunch, snacks, supplies, etc.

(We did not have time to discuss the evaluating committees item.)


2. Monkey review

Monkeys from previous meetings:

Re-MONKEY: CRC will work on developing an agenda item that would help build
personal connections among GOers.

Re-MONKEY: Jillian will check with Infoco about this. Alicia and Sarah will
work on finding an outside presenter (social worker?) and schedule times for
conversations of interested people about sexual offender issues. Process and
CRC are resources for support.

Re-MONKEY: Process will bring a discussion item about Convenor jobs.

Re-MONKEY: Process will look at our agreements in the BOA and make a list of
what should be marked expired, and ask other committees to do so as well.

Re-MONKEY: Jillian will check back in with Rod about entering the agreements
from last season into the BOA.

Re-MONKEY: Jillian will schedule time with Heather to go over Willie's
instructions on how to enter content in the BOA.

Monkeys from this meeting 10/21/2010

COOLER: create powerpoint presentations for some community agreements, as a
different kind of refreshing policy moment?

MONKEY: Jillian will ask CRC what meeting this season would work for them,
to present about the COmmuniation Pathway and the 4 Step Method for working
through emotional charge.

MONKEY: Also a request for the Pet Policy as a refreshing policy moment.
Minimum we could email it out to everyone and say we'll review it at a
meeting.

MONKEY: Jillian will check in with all presenters on the 11/13-11/14 Skills
and Thrills weekend to make sure the times are ok.

MONKEY: Then Jillian can put the grid of Skills and Thrills events on letter
size paper and put in people's cubbies - ask them circle what they plan on
going to and put it back in Jillian's cubby, so we can get some idea of
size.

MONKEY: Gail will organize lunch on Saturday 11/13, will not be able to
participate on Sunday. Thought to do a soup and bread and cheese and fruit,
Chocolate chip cookies are always good too! Instead of ordering in.

MONKEY: Jillian will ask GOers on the signup sheet for events for 11/13-14,
who will want childcare for what timeperiod? Then it might help us know if
Allen will need help. Might be hard for some parents to know, but if they're
really little they won't be going to the workshops so would need childcare.

MONKEY: Gail will check in with CRC about next work season.

MONKEY: Jillian will check in with current facilitators about next work
season.

MONKEY: Jillian will ask Heather about a 1 year BOA assignment. And maybe
Heather would be willing to pick up the spring 2010 work that did not get
done.

MONKEY: Jillian will email talk about leading alternative meetings.

MONKEY: Jillian will email Kate about leading a hoop house alt meeting.

MONKEY: Processians to casually ask other GOers, if they would find it
useful to have community meeting handouts stored electronically as well as
the paper archive that process keeps, and if so if they have any ideas on
how and where they would want it.


3. Skills and Thrills

Planning group has been meeting every few weeks, seems to be going well.

One thing that came up, is there a way to find out who will go to what, how
many people?
MONKEY: Jillian will check in with all presenters on the 11/13-11/14 Skills
and Thrills weekend to make sure the times are ok.
MONKEY: Then Jillian can put the grid of events on letter size paper and put
in people's cubbies - ask them circle what you plan on going to and put it
back in Jillian's cubby, so we can get some idea of size.

Knife skills issue - we'll need to raise the tables to chopping block height
- maybe 2 x 4s under the legs of the dining room tables. We could move the
central chopping block out. The tables need to go up quite a bit, like 6 to
8 inches! Hm. Once we know how many people we know how many tables to raise.

MONKEY: Jillian will email some of our handy folk and ask them for advice
about how to raise the tables.

MONKEY: Gail will organize lunch on Saturday, will not be able to

Childcare - Rachel said Allen is available the whole time and Willa
available part of the time - she can be there 1-3 on Sat and 2-4 on Sunday.
Hopefully there will be some kids in the workshops so he won't have all the
kids all the time, that was the idea.

4. Next work season

We need to check in with people currently doing Process jobs. We will need
fewer facilitators in spring, 6 instead of 7.

Need to check in with CRC.
MONKEY: Gail will check in with CRC about next work season.

Its been great having Vince on the committee. Have heard that he is not able
to continue. Will miss him! We'll leave our 3rd member open.

Gail is fine with continuing as agenda point person.

We need to email the current facilitators to see who would want to continue?
Jillian and Sarah were regular facilitators who were not in it this season.
Elph is fine either way.
MONKEY: Jillian will email facilitators about next season.

Archivist can go back to 1 hour.

Minute takers are not preassigned.

BOA content edit, maybe that should be a 1 year job. Otherwise its too much
turnover.
MONKEY: Jillian will ask Heather about a 1 year assignment. And maybe
Heather would be willing to pick up the spring 2010 work that did not get
done.

Alternative meetings should be talked about, remind people.

Also, there was talk about Kate leading a small hoop house workshop.

5. Discussion about electronic handouts.

A situation came up recently where a handout for a meeting was not emailed
out, and someone who could not be at the meeting who wanted an electronic
copy of the handout was not able to get it from the person who created it.
So, they have asked that Process find a way to store meeting handouts
electronically.

Just to be clear, Process does archive a physical hard copy of every meeting
handout; this is about electronic.

If we post meeting handouts on the wiki in a "documents" section, they could
potentially be out of date right after the meeting, and then if someone puts
in a search term in the future they may pull up something obsolete. If we do
this the docs would need to be very well labeled for what they are and are
not - that this is a handout for the community meeting on X date. Would this
be a section just organized chronologically? Or by relevent committee?

When a meeting handout is a Word document, would it be best for the minute
taker to just copy the text of the word doc, and paste it in at the very end
of their minutes as an addendum? Seems like that could be helpful,
especially for handouts that are background information about something. A
bit riskier if we're talking about a proposal - the proposal will be out of
date since most of them change during the discussion process. But if its in
the minutes it could be clearly marked, "Draft original not final" or
something.

MONKEY: Casually ask other GOers, if they would find it useful to have
community meeting handouts stored electronically as well as the paper
archive that process keeps, and if so if they have any ideas on how and
where they would want it.


6. Next meeting: Nov 8 unless Vincent can meet on Nov 11, either is fine
with Gail and Jillian.
