Minutes of InfoCo Meeting
8-3-10
Present: Jim, Catherine, Jillian, Alicia, Amy
Guests: Pam, Malcolm, Langston
1. Check in re: Wednesday's alternative meeting led by Pam with
assistance from Alicia (minutes by Catherine).
Pam is planning a “travel story” alternative meeting in which people can
tell stories about trips they have taken and bring pictures if they wish to.
If people want to bring digital pictures, can we show these?
Alicia determined that Adi will provide tech support for this. We’ll start
in the dining room, and move to the Game Room as needed for digital photos.
Pam will start things off with two of her own travel stories.
2. Check in re: 8/16 business meeting, co-facilitators Mary and Amy
(minutes by Alex).
a) Hoop House at GO? (Kate Long) (info/discussion)
Kate Long would like to ask the community if she can put in a temporary hoop
house at GO until she secures land for her farm next year. The group felt
that Kate should prepare a written proposal and send it out in advance. The
proposal should answer such questions as:
- Explain what a hoop house is. Materials, etc.
- How long would it be in place? If temporary, how temporary?
- How big and where? Does she have a location in mind? Would it kill the
grass?
- What is the impact on land?
Kate needs to know if this is a possibility rather soon as the hoop house
would need to be built before the ground freezes. The group felt that a
decision like will take two meetings to decide – if that is too long for her
to wait, that’s her answer.
MONKEY: Amy will explain to her the usual process for decisions and
provide a proposal template (or a recent agreement as an example).
b) Two proposals for Skills & Thrills meeting (info/discussion)
At the last meeting there was nearly a draw between competing proposal for
how the community wants to use the Skills & Thrills weekend in November. Two
groups (Making Art/Public Art Project and Doing Something Practical) will
make proposals at the August 18 meeting – the community will be asked to
choose one (although it’s not out of the question to do some of each on one
weekend if that’s what the community wants). We could plan to do the other
idea next year, or revisit our choices.
We need someone from Process to frame this – Jillian will be out of
town. Vince
will be back – maybe he could do this? Jillian will also check in with
Patti.
Someone from each subcommittee will need to present. The Doing Something
Practical group is meeting on Monday night. Katie responded to Jillian from
the Art group saying that they would meet soon.
MONKEY: Amy & Mary will need to check in with these groups to make sure
they are clear about their charge and that they will appoint a presenter for
8/18.
c) There’s a chance that Membership will do a welcome ceremony for Peter if
he is able to attend. Catherine is checking in with him. She is also
checking to see if Gabe is available for a Teen Member ceremony.
3. Consensus Decision-Making Training Power Point
Mary, Jillian, and Amy drafted a power point to aid in training our new
members about consensus decision-making. It is rough, but needs to be taken
to the next step.
MONKEY: Amy will ask Kate if she is willing to watch the ppt so Amy can
revise it with her input. Kate needs to learn about the consensus process
for her Hoop House proposal, so this is timely.
MOMONKEY: Catherine will also see if Peter is interested in seeing this
soon. Maybe Peter and Kate could do this at the same time? Vincent might
be another candidate viewer. He is on Process and is willing to give a
newcomer’s perspective.
4. Review committee mandate
We looked at the existing mandate from 2007. It is very out of date –
mostly, we need to pull out the agenda planner role.
MONKEY: If Jillian can get to it in August, she will try to edit the
document. If not, we’ll need to find someone else to do this as she will
not be on InfoCo in the fall.
5. Matters arising
Budget needs? No. InfoCo does not have a budget line.
We saluted Jim for his contributions as a member of InfoCo and as a
facilitator. He is rotating off InfoCo. Thank you, Jim!
We thanked Jillian for her work as well…she is taking a season off to serve
as work committee convener.
6. Future meetings
Tuesdays will not work for Alicia in the fall. She is willing to take
responsibility on catching up by e-mail as needed.
MONKEY: Amy will check in with other InfoCo members about the Fall meeting
schedule. She will let everyone know that we have a dilemma about this –
the last time we tried to find another regular date we failed, so we planned
an irregular meeting schedule, and attendance was poor. She will check to
see how first Tuesdays and other dates work for others.
