Alternative Meeting Review
Reviewed draft revised mandate
Overall-much improved. Clearly written and organized. Good level of detail-not so much that things get lost, but enough so that that all is very clear.
Jillian-can you clarify 4c? Are we distinguishing ourself from CRC? Process is responsible for INFOCO stuff, so aren't we ultimately responsible for CRC? Just not sure the point of this.
The numbering is a little confusing-this is picky, but it could be 1.2.1. and 1.2.2., etc.
We saw a couple of typos:
2. "Infoco committee convener and facilitator members"
3III: "information are _safely_ stored"
IIIa: "would like to do so _in_ a particular year."
IIId: "training line_item"
Alternative Meeting Review
1. Feedback about the alternative meetings is positive overall.
2. Any changes to the meeting structure need to be made much in advance because it influences work assignments.
3. The updated proposal should clarify that we can attempt to make decisions at alternative meetings if publicized well in advance-nothing that was said in the past meant that we could not, seemed to be just an assumption (follow two meeting rule, quorum, urgent decisions, alternative meeting can be suspended). Or that we can "formally" introduce a topic as its first review. In other words, need to clarify the role that alternative meetings fit into our decision making process.
4. Infoco should be encouraged to continue to incorporate all different methods and processes into "regular" meetings.
5. Is it that our long term vision is to merge all these different ideas into one set of meetings? Flowing between the different structures?
6. We need to encourage a broad range of members to lead alternative meetings as well as facilitate community meetings.
7. Note that the alternative meetings fall outside the ordinary agenda planning process, so the timing of alternative meetings where decisions could be made would be somewhat coincidental.
8. Would it be worthwhile to make the meeting schedule more flexible? It might be interesting to have the schedule be a bit more randomized?
It would likely be nice to have a lightly updated proposal which extends the life of the alternative meetings.
But for the time being, we could announce that we appreciate the input, but a new proposal will not be ready immediately, so we'll just carry on with the status quo until then.
Vincent will take a turn at revising the proposal and send it out before our next meeting, March 9, 2010.
Patti will check in with Pam about the January mintues.
