So then we gotntwo white tents, for one of them the cloth parts are in boxes in thencommunity garages, and the other one got put up for a year or so.nnWe only have usable poles for one tent (poles were bent on one). All polesnare on the lawn.nnOver the year there were a few reservations for story time, but hard fornGrounds to tell how much it got used. Currently that tent is disassemblednbehind the workshop, and stakes still in the ground. The only feasiblenindoor community space to store it is high up in workshop, which would be anlot of work to get up there and don’t know if it would ever come downnagain. Should we re-home it now? Since so many were involved in paying fornit / getting it etc Grounds wants input about what people want to do withnthe tents.nnClarifying questions?nnWasn’t the tent also used for storage of some neighbor’s furniture for anwhile?nnThat was not the intended use but it did get used for storage at one point.nnIt did get some use for story time purposes.nnIt sounds like its cumbersome to put up and take down, what does it take?nnI’ve done it with the help of at least 2 other people, its not all that badnwith 4-6 people. The first time we did it it took longer to figure it outnand do all the securing. When we drove the stakes in the ground last timenwe were sure it would be very strong. Which was why we left the stakes innplace. Probably 3 hours with 6 people at most, now that we know how to donit, if I had 6 people could probably do it in an hour but securing it wouldntake additional time.nnWhat was it used for other than story time?nnAnyone have any other info on uses?nnMy memory of part of why it was purchased was parents with young kids werennot sure what fall schooling would look like. We were even talking aboutnhiring a teacher, we just didn’t know. And in the end our schools were ablento step up and provide better learning experiences in fall 2020 than theynhad in spring 2020.nnRight, was a great idea in case needed, and then it came down to if it gotnused or not.nnDiscussionnnI just want to know what to do with it? I would lean toward donating itnsomewhere. Anyone have ideas about locations to donate?nnDrew: I’ve been texting with Megan and Andrew about a small concert seriesnin the summer in the playfield. Andrew offered to maybe store it in hisngarage for a while if we decide to move forward with it? But currentlynAndrew does not actually have space. I think we could leave all the polesnoutside. We might also be able to throw out some items from cmty garagesnthat we don’t need.nnMy opinion, first I’d like to find a way to keep it and a place to storenit, and if we can’t, then try to sell it, and if we can’t, then donate.nnIf the community has a use for it that’s great. I’d hate to store it fornyears and then throw it away. So if we can imagine a likely use for itnthat’s great. FYI if it comes to selling it I might have a buyer. Pleasenbe in touch with Megan or Andrew or Meg if you have thoughts about thenparty.nnGROUNDS ITEM 2: Oak Trees by Garages - discussion - Mac (for Grounds)n(Original Grounds email pasted in at the end of the minutes.)nnOak trees by the garages are becoming a concern, esp ones on the SE cornernbecause they are starting to overshadow panels and also encroaching onngarages themselves and need to be trimmed back. Not clear if roots are anfuture risk. The surprising thing is that covering only a small amount ofnpanels drastically reduces the output, impacting our $63,000 investment.nnDemo of the web site showing the solar panel and shade problem, where onenpanel shuts down the whole string of panels.nnGrounds was not aware of this until summer 2021 when Erik alerted us thatnsolar output was going down (Erik has that job to monitor). Sept 2021,nMonster trees came in, and said the trees chosen were too large for thenspot and would cause long term damage to garages as well as solar panelsnand recommended taking them down now and planting smaller trees. In Octn2021 grounds got a second opinion, from Guardian, the group walking aroundnwith the arborist wanted to talk about keeping the trees so Guardiannfocused on how to trim them. And, Guardian said they are adolescent treesnthat are 25 feet now and will at least double in height. Arborist said innshort term we could trim them every year to reduce shading and garagendamage but said we’d need to take them down at some point in future if wenwant to have functioning solar panels and they could do damage to garagenfoundation once roots get thicker and we find out where the roots are. Alsonlater Grounds realized the group meeting with Guardian, and thereforenGuardian, didn’t know how the solar panels worked and how much small shadenimpacts output. And a couple people pointed out that the Guardian treesnperson incorrectly identified the trees as other than oak but another kindnof large tree. Moving the panels did not seem reasonable to grounds. At endnof the email pasted in below is a transcript of the first Monster treesnvisit.nnClarifying Questions?nnAre we sure that the problem with the solar panels is due to the trees? Itnwould suck to cut down the trees and have the solar panels still notnnErik: Yes it is certain. The shading is affecting the output. Not a hugennumber right now but it will get bigger. Maybe 10% right now.nAll due to the trees?nPretty sure yes.nnBecky G: We do have a transcript from the meeting with Guardian treenservice too but it is quite long, 1.5 hours of talking in the freezingnrain. It is out there if people want to read through my best efforts withnreally bad audio.nnWhat are the potential solutions here?nno Do nothing: the trees will get bigger they will overshadow our solarnpanels and our output will drop a lot and damage to garagesno Trim the trees away from the garages every year but otherwise lettingnthem grow to adulthood so will have major solar panel shading and mightnhave foundation damageno Continue to trim for a few years and when we can’t keep them fromnovershadowing solar panels cut them down and replace with something smallern(but more expensive to remove bigger trees)no Removing some trees now and plant smaller brush now and then cut downnbigger trees once we have something established underneath themno Remove the big trees now and replace with more appropriately sized treesnnFacilitator summary:no Do something around trimming each year that still leaves the trees innplace forever; this does not address foundations or shading of solarnpanels.no Do something around trimming for a little while, and then take trees outno Take the trees out: take them out now or take them out a little laternafter underplantingnnDo I remember reading correctly that a couple of the trees maybe are notndoing well because of their location?nnGuardian tree expert said that because of their locations they would notnget as big as they normally would but still would get significantly biggernthan we would want for that space given the solar panels and closeness ofngarages. But trees were currently healthy.nnIs the roots issue a certainty? And how far in future?nnThat is a big unknown. In theory not a lot of water getting to their roots.nBut there is the seam between asphalt and curb, water may be getting innthere and roots may be going there following that. One of the experts saidnthat it looks like it was already buckling one of the curbs. I don’t thinknwe had any more specifics other than that as the roots get thicker and thennthey will expand and push up curbs and foundations if that’s where thenroots went.nnWould it not be the case that if we were to trim for years, the shape wouldnlook awkward when compared to the beautiful oak by the garden?nnIn relation to planning some smaller trees and leaving the big ones there –nwould it be difficult to not damage the smaller trees when trying to getnrid of the bigger tree and its roots?nnWould it be difficult to plant smaller trees properly in these small spacesnthere is the root system of the larger tree? On the west side there isn’tnreally much space even to plant a small tree. So it seems to me we need tonget rid of the larger trees in order to plant the small ones.nnOne of the issues is that bringing people out to remove trees does costnmoney so having that done piecemeal will cost more.nnOpen for discussion and questions too.nnDo we know when the garages are shingled? When that happens the solarnpanels need to come down and then we could move them?nnAre we talking about removing one tree? All the trees?nnWe want input about all. All the trees around the garages that are going tonget big can cause problems in different ways.nnGlenn and Syndallas ID’d trees and Guardian did misidentify a number ofntrees so we need to keep that in context. And the Monster tree guy, thentree he described was a burr oak not a shingle oak, he mentioned acorns thensize of golf balls but that is a burr oak and this is a shingle oak. I wantnus to be thinking about what we’re cutting down. I have some info aboutnoaks. Syndallas read aloud a passage about oak trees, how we need oaks andnthey provide food and protection for species, that oaks aren’t just anothernplant. We’re talking about cutting down the oak trees without firstnunderstanding what we’re removing. Oak trees are wonderful. Yes we need tontalk about the solar panels and garages but we also need to talk about whatnwe might be killing.nnOther thoughts to share?nnIf we were to take the solar panel energy question out we would stillnremain the mistake of too large of trees there, need to preserve the garagenbuildings too. It was a poor choice of trees for those locations and soonernor later we will pay more for removing them later?nnI agree with what Syndallas just said but can the trees be moved? Are theyntoo big to move? I know at Sunward a few years ago, the hawthorn in frontnof Drew and Polly’s came over from sunward via their bobcat. And thenredbuds from Sunward by TS garages.nnGrounds asked about moving the trees, asked Guardian trees. Guardian saidnat this size they don’t recommend it, it is very expensive and they tendnnot to survive at this size so she felt this would waste our money.nnDrew: I went to a training recently about using an Air space – start withnexcavator around dripline and then they use a high powered airhose to blownsoil off and using that technique they can transplant fairly successfully.nProbably only possible on the trees in SE corner. But with those two treesnthey might be able to, but would be expensive.nnWhat is lifespan of solar panels?nnGuarantee 20 years but typically last 30 years. So 20+ more years.nnIn terms of the curbs recently people talking about trying to tighten upnthe spaces of asphalt, making narrower spaces to cause people to go slowernin parking lot. Meaning I don’t care about the curbs, maybe we’ll be movingnthem later anyway.nnRegarding trees covering solar panels - why do we have the solar panels,nsounds like we have them to save the community money.nnThese are trees planted in the wrong place – not healthy for trees or solarnpanels or garages. I’m pro tree and would love to see oaks around campusnbut that site is not a good one for them. As point of comparison. My 12nsolar panels in 1 year have saved the equivalent of 52 planted trees innCO2. We could do some math comparing our solar loss and our panels but thenbenefit per year of solar panels is far more in terms of CO2.nnBut what kinds of trees are we talking about when you say 52 trees. 18nyears of growth on these trees.nnThis is an example of a way to do long term investments to keep ournassociation fees lower – we did this one, it was a big one. We are about tonreap the benefits for us and for future members.nnI think taking a small step and trimming the tree in question to see how itnaffects the solar panels is the way to go right now. It gives us moreninformation to make the decision. We could do the trimming ourselves . Wencould do it now and see the summer numbersnnIn current Smithsonian mag article about old growth forest – time ofngreatest sequestering carbon is final 50 years. We want whatever is growingnthere to be able to get to be mature for the long term. Another way to looknat the environmental impacts.nnFacil: In addition to the concerns you have or the truths you want tonnegotiate, if you have something that leads to a solution that makes sensento you please share with Grounds committee.nnThere are so many sides of this issue that IMO it will be impossible toncome to a solution if we try to measure all these aspects. Whatever we donwill need to be a mix of bad and good.nnPost meeting update: Syndallas requested that more information be includednin the minutes about oak trees, as well as an email comment to Grounds fromnGlenn since Glenn could not attend the meeting tonight. Now surrounded by dying viburnumnand brush. Laundry drying rack that is popular and may be enough interestnto double that capacity but not enough room. Crabapple trees getting oldnand producing very few leaves and rubbing against CH. Grounds has somenideas listed in email below. We need some imagination and labor to reinventnthis area. What do you think?nnClarifying questions?nnIs there money for this?nnThe usual grounds work stuff, nothing in reserve for it in particular, butnit does not have to all happen in 2022, could plan it this year. Groundsnhas a $4k savings account and some could be used for that.nnWould this reimagining need a professional landscaper, or thinking that wencould do so as a community?nnThat is the question – do people care enough about it? Right now the spacenis not great and it would be nice to make it better.nnThumbs if you want to make it greater? Lots of thumbs.nnDiscussion:nnI have over a couple of work seasons spent time trimming out there and Inknow many others have too. So I just want to say having had to trim againnand again and again and that does not fix it, I don’t think trimming is thenanswer.nnAgreed. Plus a lot of the bushes are viburnum which are dying anyway. Sonthis is a good opportunity.nnSuzette: Esp in light of covid great to have more outdoor spaces that arencomfy and usable. Love the idea of outdoor cooking spaces, some comfynseating and some shade. Could hang out and play cards. I’d be up fornhelping plan and make it happen.nnBecky G: I loved the idea of outdoor cook area. Arborist did suggest thisnwould be a great location to add new service berries; the ones on interiornof cmty not doing well.nnOlas mentions hey maybe if we had a tent!nWe might want something more permanent but that is interesting.nnOther thoughts on this?nnI would just caution that whatever we come up with we think about lownmaintenance as far as landscaping. We have lots of things that do neednmaintenance and don’t always get the maintenance they need, please justnkeep in mind.nnOne advantage of south facing wall, mostly windows, in wintertime when wenuse CH dining room whatever we do outside should still allow for light toncome in in wintertime – shade sails that can come down etc.nnWe should not necessarily be bound by the shape of the brick patio. A community member pointednout that was inappropriate for us as a white planning group to claim her asna friend. In the book Crystal is talking about herself and her frequentnexperience of being the only Black person in a space. And she has chosen tontake on that role as a “token” and to educate people. So on the flyer wenwere taking it out of that context. And in the context of racism a lot ofnus as white people have an inclination to talk about the Black friends thatnwe have, as if that’s a badge of not being a racist, and this had that feelnto it. So we redid the flyer. We learned from that. And we appreciate thentime and energy the community member gave to point out the mistake. Sorrynwe didn’t catch it but grateful for the opportunity to learn and do better.nSuch a perfect example of trying to do the work, getting tripped up by ournown racism but just learning from it and supporting each other through it.nWe’ve all learned racism, which is not our fault, but we have anresponsibility to unlearn it. In the context of our neighborhood, we made ancommitment to be good neighbors. We want our neighborhood to be better,nbetter for the marginalized people who live here or visit here.nnMegan: the neighbor called us out. Bylaws and Master deed worknnThe work on Bylaws is as complete as it can be until we hear back from thenlawyer, so F&L is working on master deed. Master deed is the piece thatnspells out who is responsible for what, and that there are certain thingsnthat have to be reviewed by mortgage holders before we can make changes,netc. All sorts of things. Debbi will walk through the changes and mentionnthe changes that have already been put into effect (we amended it twicenbefore).nn"Proposed Future Development" is about what became Touchstone - referred tonas Honey Creek coho - we are asking lawyer to change references to HoneynCreek or future devo to Touchstone.nnA meeting in the past year or so we talked about the master deed, whatnthings should be considered general common elements vs limited.nnGeneral common elements - GCEs - belong to community as whole and used byncommunity as whole.nLimited common elements - LCEs - belong to whole community but use rightsnreally belong to individual households.nWe decided last time around to add some things - Workshop. And anynstructures constructed within the interior of the community, such as solarnpanels. This intentionally excludes things like treehouse which is on thenborder of the community. Anything not mentioned is automatically a GeneralnCommon Element.nnQuestion: Boardwalk?nnIs it ours or shared?nnIdea is it would be shared. So we could add it to the section that talksnabout the wetlands.nnWould it make sense to say that, when someone is constructing somethingnpart of the process has to be, for the LCE or GCE to be determined?nnAutomatically if it is built by community for community use it is GCE.nnConcept - does it make sense to people to try to exclude things in thisnway?nnNot sure... I don't want us to have to be too specific so we have to revisenthis all the time.nnBut are we in agreement that any outbuildings that are built are a generalncommon element unless otherwise specified. Yes.nnCommon elements does it include the land? Yes that's covered in 1(a).nnSo Katie and Willie requested exclusive use of their orchard. Does thatnhave to be in there? that that GCE element became an LCE?nnWe have processes for this already, we talk about things with each othernand get permission to use things, does that really have to be in MasternDeed?nnIf we were being a "real" condo assoc yes, paperwork would have beenninvolved, it would have transferred with financial implications. That piecenof property now is their exclusive use.nnBut I don't think it transfers if they move - its not forever.nnWe don't want to be that specific it sounds like, and we need to make surenwe preserve a way to make changes as the community evolves.nnLast time we decided to make it explicit that the drywall is GCE. From thenpaint into your living space is LCE.nnAt the last meeting we talked about exterior door hardware, porch lightsnand put it as a GCE - don't know if that was a mistake in the notes or thenmaster deed, but seems like they should be LCE.nnThe plastic roofs are in the reserve and are considered something thencommunity is responsible for in some way. Strikes me they should be LCE,nthey are for your use.nnSome people said they don't think porches should be LCE - can anyonenexplain why?nnMy porch is mine, I don't expect to come home and find my neighbor on mynporch, turning my light on or off etc.nnIn my lawn we can plant what we want. But can I change out my porchlight ornreplace my door?nnThe way the responsibility piece is written, the door and light itself arenthe community's responsibility. We collect in the reserve for it. You arenexpected to change your own lightbulbs.nnNote that it stated that the original door and hardware, if you change itnout yourself then it does not apply?nnScreen doors we have added are ours? Yes.nnI think porch roofs are like house roofs and should be GCE. I think porchnis like front steps - if uneven they had to come jack them up. I wouldnexpect community to fix if something bad happened.nnWhat is the relationship between the type of common element something isnand who is responsible for its maintenance. You can have LCEs that thencommunity is responsible for.nnIsn't it the case that for LCEs in general, you as owner have ability tonmodify them? So that's why I asked about the lights and the doors. But ifnthey are excluded below that would imply they are GCEs.nnI remember sending an email to the community at some point where I wasnadvocating for keepting things looking homogenous since that is morenappealing to me, and a response back saying no this is a community that isnvaried. So does the community want to have a continuity of design or ancrazy quilt patchwork. Is that what this is about?nnI think whatever change you wanted to make you would petition yournneighbors.nnBut I don't think that that is so, necessarily, if it does not structurallynchange the envelope I don't know if you would.nnI think that's the answer, if its part of the envelope of the house - itnstays as GCE. Porches, porch roofs, porch floor and steps, doors, light,nand other aspects of the envelop of the house.nnLast time around we decided to mention the solar panels.nnLast time, a principle we established that LCEs are GCEs with use assignednto a household. We removed decks as not to be considered common elements atnall. We changed stoop to steps. We added language to include wood burningnstoves and chimney and the ducts - ducts within your unit are your problem.nBut if there are ducts that go through the buildings, like across commonnwalls or across a common attic.nnIf duct in my house is full of dust I clean it, but if it falls apart thennwhat?nnJust because something is an LCE doesn't necessarily mean the community hasnno responsibility for it - the community owns it. When we get to laternsection we'll discuss.nnquestion to go back and look at the sidewalks, community responsibility tonfix, would that happen if it was either LCE or GCE, probably, and that wasna construction defect anyway.nnIs a post construction added wood burning stove different from a fireplacenadded during construction? Yes it can be moved and sold and replaced.nnThis says items LCEs owned by the community, but then lists some thingsnthat are not owned by the community - eg air conditioning.nnSo we should strike those.nnI think it'd be too hard to know later what was put in at the start andnwhat added later, how could we track it.nnI think the AC is not essential part of the envelope.nnI tried to record the decisions that we had previously made and what I'mnhearing now is that people may not like those decisions - when you see itnin writing it becomes clearer. This is fine if so but sounds like we maynneed to go back and do some rework.nnFor me its not a question of like or not like its surprising to see some ofnthese things as owned by the community - confusing.nnMaybe people didn't understand in past that by definition an LCE is ownednby the community.nnChimney should be owned by community since its part of the envelope, butnwhat its attached to the owner owns.nnCould a distinction be, something that is permanent installation? chimneynis. wood stove someone might take with them.nnWould our attorney Rick be able to help with the definitions?nnI'm not sure its a definition problem. I think last time people did notnunderstand that LCEs are things that are still owned by the community. Notnunderstanding that is crucial.nnMany of us replaced our water heaters but its here in the master deed,nconfusing.nnI wonder if some stuff is in here about safety. I recall that around thendecks. And who wants a chimney or fireplace to put the building at risk ifnnot maintained. Perhaps that was part of the thinking.nnI think that's probably true. And I think if the assoc had a member thatnwas doing unsafe things in maintenance the community could step innregardless.nnNext steps: F&L will take another crack at this. F&L urges us to readnthrough. Will make some more changes, will send it back out, and this willnneed to come back. Grounds Focused Alternative Meeting
Here are my notes from when we walked around the campus grounds andchecked out various projects. Much of these are simply people's
ideas-not meant to convey grounds plans, but to give back to grounds
some of the ideas that people had while we were walking around. Not
many of the ideas were "debated," just tossed out as suggestions.
Outcomes: Katie, Hope, Jim & Becky are going to be an ad hoc grounds
fundraising committee who will consider alternative & multiple funding
structures for the various grounds projects The sandbox is the #1
priority. We need a destination with nice seats, shade, and storage.
Decide on location, then develop design and budget.
Then build it during May work days. Talk to your kids about likely
changes with the current sandbox.

evaluations).
It is long, but captured a lot of people's input,
and at the end are our evaluations of the day and
comments on training in general, and followup
recommendations from the trainers too.
They laid it out in word and provided a PDF but
